JOB SUMMARY/ESSENTIAL JOB FUNCTIONS: The Administrative Specialist 3 manages all academic departmental administrative task for the BS-ASP, MS-SLP, Au. D, and Ph.D. students.
- Manages all departmental administrative tasks including ordering supplies, mail distribution, schedule and file maintenance, room scheduling, maintenance of basic office equipment, and procedures for the department.
- Maintains student files with information related to application, vaccinations/clinic, licensure, academic records, and graduation.
- Develops semester classroom schedules, manages semester textbook orders, and coordinates the semester course evaluations via Digital Services.
- Coordinates academic events e.g., prospective student visits, orientation, commencement, receptions, and luncheons.
- Prepares letters and memorandums certifying students’ attendance and academic status, financial awards, and correspondence to outside community agencies.
- Maintains PRAXIS score information for department chair to review.
- Performs and assists with enrollment of students each term/semester; schedules advisor appointment and maintains up-to-date advisor list.
- Assist with the writing and editing of the 3 + 1 program application and FAQs.
- Ensure University policies and procedures are followed for Memphis and Knoxville campuses including departmental policies and procedures, FERPA rules and regulations, HIPAA, and Medicare rules and regulations
- Performs other related duties as assigned.
Minimum Requirements:
EDUCATION: High School Diploma or GED. (Bachelor’s preferred). (TRANSCRIPT REQUIRED)
EXPERIENCE: Four (4) years of administrative support or office related experience; OR Associate’s Degree and two (2) years of administrative support or office related experience.
Knowledge, Skills, And Abilities:
- Excellent Ability to operate Microsoft Office products (Word, Excel, Access, Publisher, PowerPoint).
- Ability to operate in IMSP, Banner, Nolij, Argos, IRIS, and CSDCAS
- Excellent written and oral communication skills as well as interpersonal skills.
- Ability to work in fast paced environment with great attention to detail.
- Ability to work independently and meet deadlines.
- Must be able to maintain confidentiality.
