Administrative Associate
You will support general services operations and the EHS & General Services Manager, as well as the local leadership team. Responsibilities include providing administrative support, coordinating processes within the general services function, and assisting with fleet and international assignee relocation management.
Position
- SAP Requisitioner (The predominant share of responsibilities): Manage all purchase requisitions (PRs) and purchase orders (POs) within SAP for the General Services function, ensuring timely processing, budget alignment, and compliance with company policies and procedures.
- Assignees Management (IA/STA): Serve as the single point of contact between employees and appointed external service providers, managing the end-to-end process of physical relocation (arrival and departure) for assignees. Ensure a smooth transition in compliance with applicable local legislation and global policies. Responsibilities include coordinating the work permit process, arranging accommodation (housing and settling), tracking expenses, managing non-personnel records, preparing purchase orders, and overseeing all other related assignee processes.
- ExCom Support: Provide executive-level administrative support to the General Manager and local leadership team, including schedule management, communications, travel arrangements, and expense processing. Coordinate logistics for corporate meetings, trade events, and business engagements, acting as a key liaison for internal and external stakeholders.
- Fleet Administrative Duties: Support the EHS & General Services Manager in end-to-end fleet management. Handle communications and transactions with lease and insurance providers, manage telematics reports for payroll purposes, coordinate driver safety interventions, and oversee data management and analysis of all fleet-related information. Ensure the efficient and safe operation of the entire company fleet.
Requirements:
- 3rd Level Business Qualification or equivilent would be an advantage.
- Previous experience in People & Culture (P&C) and general administration, with specific expertise in purchase orders (POs) and invoicing.
- Problem-solving skills with the ability to work proactively and creatively, using initiative to anticipate and resolve issues.
- Strong planning and organizational abilities to manage end-to-end execution of projects and activities.
- Clear and effective communication across all levels of the organization, with the ability to understand high-level requirements and implement accordingly.
- Efficient time management and task prioritization under tight deadlines
- Strong interpersonal skills to build rapport and maintain positive relationships across the organization, fostering trust.
- Ability to handle sensitive information with discretion and maintain confidentiality.
- Analytical skills to gather, interpret, and evaluate information for sound decision-making.
- Proficiency in Microsoft Office tools: Word, Excel, Access, and PowerPoint.
- SAP experience is essential.
- Attention to detail to ensure accuracy of information and high-level execution of tasks.
