Job Summary
The Litigation Portfolio Administrator is the primary contact overseeing the expected distributions from various cases. As a key member of the Victims of State Sponsored Terrorism team, the Administrator leads the development and implementation of efficient workflow procedures and provides operational coordination and support. This role requires frequent travel to various locations for case management and client interactions in native languages. The Terrorism Litigation Portfolio Administrator has an annual billable hours target of 1600 hours.
Job Responsibilities
- Manage portfolio of more than 2800 clients/heirs and a dozen or more cases
- Monitor, track and report progress of terrorism-related cases, from intake through litigation and distribution
- Coordinate efficient distributions to clients/heirs around the world
- Coordinate with team partners to assign tasks and distribute workflow, ensuring alignment across teams and stakeholders
- Manage the workflow, deadlines, and financial aspect of cases, ensuring smooth operations across legal teams
- Research and analyze data to provide insights, make recommendations, and drive strategic operational decisions to ensure efficiency and client satisfaction
- Develop and maintain strong relationships with clients, vendors and external partners in native languages, acting as a key liaison to address issues requiring attention
- Combine knowledge in team operations, client relations and team leadership; oversee team processes and recommend improvements ensuring operational efficiency
- Serve as central resource for attorneys, clients, co-counsel, vendors and government affairs teams for information, guidance and decisions, supporting team members and stakeholders in achieving goals
- Performs legal and factual research
- Drafts and proofreads correspondence and other documents as required by practice group as requested

Knowledge, Skills and Abilities
- Demonstrated ability to communicate clearly and effectively, both orally and in writing with attorneys, staff and external contacts.
- Demonstrated ability to organize and prioritize work in a dynamic and complex environment to meet deadlines and daily requirements.
- Strong attention to detail, including superior spelling and grammar.
- Proficiency in Arabic preferred; interest in Middle Eastern Studies a plus.
- Ability to provide quality client service to both internal and external contacts.
- Ability to work effectively, both independently and with others in a cooperative, enthusiastic, and friendly manner to accomplish position functions and participate in team goals.
- Ability to coordinate the work of others and work harmoniously with team members.
- Ability to maintain strict confidentiality regarding office data and handle sensitive information with discretion.
- Working knowledge of MS Suite of products such as Word, Excel and PowerPoint.
- Strong attention to detail, excellent spelling, grammar and punctuation skills.
- Ability to work overtime hours and travel as necessary.
Education
The position requires a Bachelor’s Degree. Equivalent training and/or directly relevant experience may substitute for education. Paralegal certificate from an ABA approve program desired.
Experience
The position requires a minimum of three (3) years of directly related legal, corporate and/or administrative experience during which knowledge, skills and abilities applicable to the position were demonstrated.

Our Firm is committed to fair and equitable compensation practice in accordance with applicable laws. The salary range for this position is $74,000-$98,000. Additional compensation may include a discretionary bonus. The salary for this position may vary based on location, market data, an applicant’s skills and prior experience, certain degrees and certifications, and other factors.
