The Role

The Senior Associate, Concierge Services plays a critical role in enhancing the employee experience for our project team members in the U.S. Virgin Islands. This position blends concierge-style service, administrative excellence, and HR support to ensure employees feel supported, connected, and equipped to thrive. From maintaining employee files and coordinating travel, to providing resources for local services and managing day-to-day office operations, this role serves as the go-to resource for creating a seamless and positive work environment.

Responsibilities

  • Serve as an advisor to employees on resource options, balancing organizational guidelines with individual needs.
  • Support the HRBP not only administratively, but also in applying HR practices, policies, and procedures requiring judgment and confidentiality.
  • Leverage employee survey data and firsthand observations to identify experience trends and recommend program improvements to leadership.
  • Serve as the first point of contact for team members, offering concierge-style support with professionalism and care.
  • Provide guidance and resources for local services, housing, dining, wellness, and lifestyle needs in the U.S. Virgin Islands.
  • Act as the local liaison with corporate engagement and community giving teams, coordinating events and initiatives that strengthen employee connection and well-being.
  • Deliver high-quality customer service by anticipating needs, resolving issues, and ensuring employees feel supported.
  • Maintain accurate and confidential employee files in compliance with policies.
  • Support onboarding and offboarding processes, ensuring a smooth transition for employees.
  • Track and maintain HR-related documentation as assigned.
  • Coordinate travel arrangements including flights, accommodations, and transportation.
  • Proactively communicate logistics to ensure seamless employee experiences.
  • Exercise discretion in selecting vendors, negotiating services, and recommending solutions for employee and project needs.
  • Provide administrative support for meetings, events, and project activities.
  • Develop and implement office and travel coordination processes that improve efficiency and cost-effectiveness.

Qualifications

  • Bachelor’s degree in business administration, Human Resources, Hospitality Management, or related field preferred; equivalent experience considered.
  • 3+ years in employee services, concierge support, office administration, HR, or hospitality.
  • Strong interpersonal and communication skills with a service-oriented mindset.
  • Highly organized and detail-focused, with the ability to manage multiple priorities.
  • Proficiency in MS Office Suite and HR/administrative systems.
  • Ability to handle confidential information with discretion.
  • Familiarity with U.S. Virgin Islands resources and services highly desirable.

Working Conditions

While performing the duties of this job, the employee is regularly required to sit for long periods of time; talk or hear; perform fine motor, hand and finger skills in the use of a keyboard, telephone, or writing. The employee is frequently required to stand; walk; and reach with arms and/or hands. Specific vision abilities include close vision, distance vision, depth perception and the ability to adjust focus. The employee will spend their time in an office environment with a quiet to moderate noise level. Job site walking.
