What Does Success Look Like As Our Team Member?
- Warm Welcomes & Participant Check-ins – Greet participants and visitors with a friendly smile, check them in and out, and ensure accurate documentation in our CRM/EHR systems.
- Communication & Call Management – Answer and route incoming calls, take messages, respond promptly, and document interactions in the EHR.
- Maintaining a Welcoming Environment – Keep the reception area neat, organized, and inviting for all who enter.
- Participant Referrals & Outreach Support – Send referrals and prospective participant information to the Outreach Team.
- Emergency Response – Respond to urgent calls following established policies and procedures to ensure participant safety.
- Mail & Package Coordination – Process all incoming mail and packages and distribute them efficiently.
- Calendar & Event Support – Manage the office calendar, schedule conference rooms, and assist with setting up activities.
- Facility & Equipment Coordination – Schedule maintenance and services for the center’s equipment to keep everything running smoothly.
- Opening & Closing Duties – Support facility operations by ensuring all systems are functioning properly and reporting any issues.
- Office & Supply Management – Keep the team stocked with necessary office and breakroom supplies by managing inventory and placing orders.
- New Hire Onboarding Support – Assist hiring managers with welcoming and onboarding new employees to ensure a smooth transition.
- Day-to-Day Center Support – Help with daily operations, including assisting with day center activities, meal services, and escorting participants as needed.
- Reporting & Compliance – Assist in preparing reports and supporting audits required by DHCS, CMS, and other regulatory bodies.
- Special Projects & Administrative Support – Provide organizational and administrative assistance on special projects to enhance the center’s operations.
- Other Responsibilities as Needed – Contribute wherever support is needed to keep our center running efficiently and participants feeling cared for.
What Does An Ideal Candidate Look Like?
- Educational Foundation – High School Diploma or GED is required to support your success in this role.
- Front Office Experience – Previous experience working in a healthcare facility's front office helps you navigate patient interactions and administrative tasks with confidence.
- Administrative & Technical Skills – Familiarity with standard office procedures, including filing, record-keeping, and using office equipment, supplies, and computer software, ensures smooth day-to-day operations.
- Clinical Knowledge (Preferred) – A Certified Nursing Assistant (CNA) certification is a plus, offering additional insight into participant care.
- Compassion for Older Adults (Preferred) – Experience working with frail elderly populations is highly valued and enhances your ability to provide empathetic support.
- Bilingual Abilities (Preferred) – Fluency in English/Spanish, English/Cantonese, English/Mandarin, or English/Vietnamese is a plus, allowing you to connect with participants in a meaningful way.
- Reliable Transportation – A valid CA driver’s license, personal transportation, a good driving record, and auto insurance (as required by state law) ensures you can support center operations as needed.
- Commitment to Safety – Proof of current CPR/BLS certification (or willingness to obtain within 30 days of hire) is preferred, ensuring you are prepared to assist in emergencies.
The Fine Print
- Work Location: This role is 100% on-site at our Greater Los Angeles location (90057), giving you the opportunity to stay closely connected with the team and our participants.
- Schedule: Monday through Friday, with consistent hours from 8:00 AM to 5:00 PM so you can plan your workday and life with ease.
What To Expect From The Work Environment
- You’ll be seated at the reception desk for much of the day, greeting participants, caregivers, and visitors with a smile.
- You’ll often stand, walk, or move around the center to support participants or assist team members.
- You’ll use your hands and fingers frequently to operate phones, computers, and office equipment.
- Occasionally, you may lift or carry items up to 20 pounds (like files, packages, or supplies).
- Good hearing and communication skills are key for answering phones, greeting visitors, and responding to participant needs.
- You’ll need to see and read participant information and computer screens clearly to keep things running smoothly.
- Sometimes you may need to bend, reach, or stoop to retrieve supplies or help with simple tasks.
