About The Job:
We are seeking a proactive and detail-oriented HR Administrative & Document Control Assistant to join our team in Saudi Arabia. This role combines human resources, administrative, and document management responsibilities to support daily operations, ensure compliance with Saudi labor requirements, and maintain efficient office workflows. The successful candidate will act as a key support to employees, management, and vendors while upholding accuracy, confidentiality, and professionalism across all tasks.
What You’Ll Do:
Human Resources & Administration
- Maintaining and updating employee records, contracts, and payroll files in compliance with Saudi labor law.
- Acting as a point of contact for employees regarding HR policies, benefits, insurance updates, and inquiries.
- Supporting onboarding and offboarding processes with proper documentation and coordination.
- Scheduling and coordinating meetings, interviews, trainings, and company events.
- Preparing reports, memos, and official communications for HR and management teams.
- Providing administrative support to HR, accounting, marketing, and general management teams.
Document Control
- Managing receipt, registration, and distribution of HR, administrative, and project-related documents.
- Enforcing compliance with company standards for formatting, version control, retention, and archiving.
- Coordinating revisions, approvals, and change control processes.
- Maintaining both physical and electronic filing systems to ensure security, accuracy, and accessibility.
- Supporting audits, inspections, and compliance reporting with required documentation.
- Ensuring the secure handling of sensitive and confidential information.
Marketing & Business Support
- Assisting with coordination of marketing initiatives, event logistics, and trade show participation.
- Conducting local market research to support business development strategies.
- Providing administrative support for client communications, proposals, and reports.
What’S Required:
- Bachelor’s degree in Human Resources, Business Administration, or related field (preferred).
- Minimum 2–4 years of experience in HR administration, document control, or office management.
- Proficiency with Microsoft Office Suite (Word, Excel, Outlook).
- Knowledge of Saudi labor law and HR compliance requirements.
- Strong organizational skills with attention to detail and accuracy.
- Excellent communication and interpersonal skills in English; Arabic proficiency is a plus.
- Ability to manage multiple priorities and meet deadlines in a fast-paced environment.
- Ability to manage multiple tasks and meet deadlines under pressure.
- High level of discretion, integrity, and professionalism when handling sensitive information.
- Currently residing in the Kingdom of Saudi Arabia.
- Flexibility to support teams across different locations or time zones.
What’S Preferred:
- Experience working in a professional services, consulting, or engineering environment.
- Familiarity with document control tools (Aconex, Procore, etc.) or cloud-based collaboration platforms (Teams, OneDrive).
- Prior experience supporting cross-functional teams in an international or regional setting.
Additional Responsibilities:
- Provide general administrative support and ensure adherence to documentation standards and practices.
- Coordinate with colleagues to meet project and submission deadlines.
- Uphold confidentiality, professional conduct, and personal integrity in all communications.
- Support continuous improvement in document control processes and systems.
Effort & Working Conditions:
- Ability to sit, walk, or stand for extended periods in an office environment.
- Involves filing and handling physical records occasionally.
- May involve secure handling of confidential or proprietary information.
