Job Purpose:
Works directly with the Site leadership Team and will support some administrative duties as required. Leads the site communications strategy to support business needs and ensures site success.
The role would be based in Jamshoro reporting into the E2E SC Lead and Site Director, covering supervision & responsibility to manage all admin related matters such as Canteen, Housekeeping, Transport, Travel & Fleet, Time Management and addition of EW Compliance Management, via extended support the site with EW Relations management aspects (e.g. data management and administrative compliance of 3P contracts would be centralized and compliant). The role will also support the team in broader communication and engagement at site. And will also provide subject matter expertise support to the commercial team on matters related to Travel and Fleet.
Administers and supports the execution of employee engagement strategies, programs, initiatives, and key activities that continuously elevate the employee experience. Supports efforts to increase employee engagement with a focus on employee communications, employee and corporate social responsibility events, recognition, and innovation, among others.
Key Responsibilities:
- Ensure smooth provision of administrative services in employee services for respective administrative areas, and manage resources to deliver quality administrative service for areas of Canteen, Housekeeping, Transport, Time Management for site, and additionally provide oversight for EW Admin HC supporting Commercial (for only Fleet and Travel and CBRE functions)
- Direct all housekeeping activities, ensures that buildings, grounds, equipment, and supplies are maintained and serviced. addressing complaints of members of staff and ensure that the complaints are addressed efficiently and effectively. providing leadership to canteen staff and ensure high standards of hygiene in relation to the preparation, storage and serving of food at the canteen.
- Work closely with Security, EHS, Legal, HR and extended teams where required to ensure the site is compliant to legal requirements of administrative nature and extend support in Audits as and when required. Liaison with local (governmental / non- governmental) bodies and deal with them as and when needed, e.g. ensuring communications, agendas and stakeholder availability (Site Head, Admin, EHS etc) and visits for Labor Inspections & Audits of Labor Directors and Labor Officers for Labor and EHS Inspections at factory.
- Administers and supports the execution of employee communication, engagement strategies, programs, initiatives, and key activities that continuously elevate the employee experience. Ensures that the plan is well communicated and deployed across the site when it comes to events and activities being deployed at site.
- Communicate effectively and comfortably with people from all levels of the business, providing them with administrative support, manage, coordinate vendor activities, and maintain both new and existing vendor relationships. Analyze expenditures and other financial information to develop plans, policies, and budgets and improving services and make sure that the organization has the supplies and services it needs with a high level of integrity.
- Support the site with EW Relations management aspects (e.g. data management and administrative compliance of 3P contracts would be centralized i.e. the individual will work closely with BOs at site to ensure contract related compliances under a defined framework to ensure our Legal compliances – which are out of scope of HR, however HR will support in establishing the right frameworks and oversight needed and to clarify HR Site Lead will remain at the forefront for Haleon Permanent Staff IR/Union related matters, including any engagements with Unions & Labor Directors etc). Complies full and consistently with all company policies and procedures, with local and federal laws and regulations applicable to our industry, to maintain appropriate business and employment practices.
- Identify and implement, when change is required, to improve ways of working, simplifying tasks or reducing costs, as approved by Management, and maintain high levels of integrity in all activities
- Responsible for keeping a high standard of compliance in all admin related activities
- Writes letters and develops business presentations as required.
- Develops and sustains a level of professionalism among staff according to company values.
- Upholds a strict level of confidentiality.
- Supports People Managers and colleagues in the coordination of colleague's engagement initiatives (i.e. recognitions, Year End Activity)
- Participates in special site committees/teams as assigned.
- Manages the internal communication of integration initiatives, activities and efforts among the Site Administrative Support Team group.
- Writes, edits and prepares internal materials, including company publications, group emails, intranet pages, training materials and employee meeting materials.
- Writes, edits and prepares external communications including industry articles, press releases, blog posts and webcasts as required.
- Prepares visual communication like brochures, flyers, dosiers, banners, bulletins and other electronic communications.
- Interviews source persons and researches subjects in order to obtain information and verify facts; assigns and/or directs graphic design and approves final proofs for print pages, web pages, and navigation.
- Keeps abreast of new communication technology and social media developments.
- Owns the deployment and enforcement of the site communication strategies in support to the business. Ensures that the plan is well communicated and deployed across the site.
- Coordinates production and distribution of materials. (up to requirement)
- Develops, recommends and maintains editorial policy and branding guidelines.
- Serves as the primary communications partner with the corporate communications group.
- Builds relationship with the local commercial team.
- Implements initiatives that foster a positive work culture and enhance the overall employee experience.
- Collaborates with HR, management and other departments to align engagement efforts with broader organizational goals.
- Analyzes employee feedback and engagement data to identify trends and areas of improvement.
- Stays abreast of industry trends and best practices in employee engagement to continually improve strategies.
- Complies full and consistently with all company policies and procedures, with local and federal laws and regulations applicable to our industry, to maintain appropriate business and employment practices.
Skills And Competencies:
- Bachelors Degree or other applicable Degree Communications, Public Relations, etc.
- 3-5 years of related professional experience
- Experience managing communication for large audiences
- Understanding and connections with the community, government agencies, hospitality, regulatory agencies, among others
- Experience supporting administrative requirements
- Industrial/Employee Relations Experience
- Proficient in the use of Microsoft Office (Word, Excel, Power Point, Access)
- Experience with Video making software.
- Capable of managing workload and prioritizing tasks in a fast-paced corporate environment.
- Fully Bilingual English - Read, Write and Speak fluently.
- Proven successful use of communication channels such as, intranet, email bulletins, social media and regular newsletters.
