Overview

The Sales Contracts Administrator Plays A Central Role In Managing The Sales Contracting Process, Ensuring Accuracy, Compliance, And Efficiency Across Global Teams And Time Zones. This Role Supports Internal Departments, Legal Operations, And External Clients By Reviewing Contract Requests, Verifying Document Readiness, Coordinating Signatures, And Maintaining Thorough Documentation. The Ideal Candidate Thrives In A Fast-Paced Environment, Is Highly Organized, And Has A Strong Attention To Detail. This Position Is Also Responsible For Ensuring Adherence To Sox Compliance Standards Throughout The Contract Management Process.

Responsibilities

  • Monitor and manage the sales contracts mailbox, reviewing incoming requests and determining next steps.
  • Assess whether documents are complete and ready for signature.
  • Follow up with internal stakeholders on missing or unclear information.
  • Determine whether to void current DocuSign envelopes or issue new ones.
  • Identify correct signature flows, including client-side order and prior actions taken by other teams.
  • Route requests to the appropriate department when needed.
  • Cross-check multiple platforms for information: U.S., EMEA, and APAC DocuSign, Client Central, WebSignature, and SharePoint.
  • Track contract statuses (e.g., pending, uploaded, closed) and organize documents in appropriate folders.
    • Review and support a wide range of document types including:Global Master Service Agreements (GMSAs)
    • Work Orders and Amendments
    • Statements of Work (SOWs)
    • Tax Letters
    • Security Incident Responses
  • Assist in locating historical agreements via archives (inbox, email, or physical files)
  • Support international team collaboration, particularly during high-volume periods or team member absences.
  • Ensure compliance with SOX (Sarbanes-Oxley) requirements related to contract controls, audit trails, and document retention.

Essential Qualifications/Experience :

  • Exceptional attention to detail and a strong sense of organization.
  • Clear and professional written communication skills, especially for follow-ups and templated responses.
  • Familiarity with legal agreements, document workflows, or contract lifecycle management.
  • Experience using DocuSign, SharePoint, or similar contract and document management systems.
  • Ability to work independently while knowing when to escalate or ask clarifying questions.
  • A proactive, service-oriented mindset with a problem-solving attitude.
  • Strong time management skills and the ability to prioritize tasks in a deadline-driven environment.
  • Understanding of SOX compliance and experience supporting audit-ready documentation processes (preferred but not required).
  • Have supported global teams across multiple time zones (preferred but not required).
  • Understand the signature flows. (preferred but not required).
  • Are experienced with WebSignature tools (preferred but not required).
