Basic Function/Position Objective
Reporting to the Program Director, the Program Assistant will help the Program team execute program efficiency for the Metro South Los Angles location. The ideal candidate will have a previous office and nonprofit experience, strong attention to detail, and a positive, can-do approach.
The Program Assistant will be a hybrid role, with work in the office and with some occasional weekend work. The work is performed in an office setting and occasionally out in the field.
Essential Functions/Core Job Accountabilities:
- Primary responsibility is to provide administrative support to program management and all program staff.
- Foster and maintain positive and professional relationships with community partners.
- Develop referral systems to ensure care coordination for youth and caregivers.
- Build partnerships with other programs, services, and organizations to enhance youth’s experience.
- Facilitate ongoing assessment and program evaluation to ensure compliance with standards, work plans, and overall program quality.
- Maintain updated records, including youth files and reporting databases, to ensure confidentiality and compliance with monitoring standards.
- Support office upkeep by organizing, and overseeing office routines
- Aid in developing relationships with partner organizations to assist with event & program enrollment.
- Attend and actively participate in meetings, coalitions, and other functions.
- Work with the Program Director to ensure program and initiative milestones are met.
- Maintain calendar invitations and send out reminders of impending appointments.
- Support Program Director on reports and program objectives.
- Support in enrolling of youth calling and scheduling meetings.
- Create and upkeep flyers, brochures PowerPoints and collateral material.
- Work with Office Manager on potential problems and implements solutions or refers issues/solutions to program management.
- Support team through pick up, drop off, and distribution of items to office, staff, and families.
- Model Friends LA's approach, mission, and core values in all communication and correspondence.
- Provide support during staff transitions.
- Perform related duties as assigned by the Program Director and the Family Engagement Director.
Required Qualifications
- Minimum education is a bachelor’s degree in social or human services or related field from an accredited or state-approved college or university. At least one to three years in a social service setting or human services experience is highly desirable.
- A strong record of intercultural responsiveness, sensitivity and awareness, and cross-cultural communication skills.
- Resourceful and knowledgeable about the community where youth and families live, related resources, and other services.
- Experience working at a nonprofit organization is preferred.
- Fidelity/experience in maintaining confidential, accurate, and complete records and documentation.
- Willingness to be a team player with an attitude and aptitude for collaboration.
- Proficient with Microsoft Office software, including Word, PowerPoint, Excel, and Zoom proficient.
- Self-starter who has demonstrated the ability to work independently and as part of a team.
- Dedication to Friends LA’s mission.
Preferred Qualifications
- Bilingual preferred (Spanish/English)
- Experience with CRM systems.
