Job Description:
- Handle financial transactions in LN finance system, maintain transaction records, and manage petty cash.
- Prepare payment vouchers, manage tax declarations and payments, and ensure the document control of invoices and other financial documents for Japan offices.
- Provide administrative support to Japan offices.
- Responsible for vendor management for mobile phones, laptops, and office IT infrastructure.
- Manage travel and expenses claims on SAP Concur and responsible for processing wire transfers post-approval.
- Act as a liaison between IT and other internal departments for technical support.
- Ensure compliance with legal requirements by maintaining local records related to onboarding and offboarding.
- Oversee office maintenance, manage fixed assets, and handle office contracts.
- Provide administrative assistance to senior management, support board meetings and arrangements.
- Communicate effectively across different regions to meet and support the various needs of the office, ensuring seamless operations and optimal functionality.
- Act as fire prevention manager to coordinate training and disaster prevention supplies management for safety and compliance.
- Coordinate annual health checks in accordance with local legislation.
Requirements/Qualifications:
- Bachelor’s degree in business administration or related field.
- Minimum 6 years of office administration experience, preferably from multinational companies or large-scale organizations.
- Strong accounting background with knowledge of local tax regulations.
- Native level proficiency in Japanese language.
- Business conversation level proficiency in English language (TOEIC 750-800)
- Proficient in MS Office tools.
- Detail-oriented, proactive, independent, with excellent communication and organizational skills.
