We are seeking a dedicated individual to join our team as a Planning Specialist, driven by a commitment to continuous improvement and possessing a strong background in project management. As a highly competent project management professional, you should have a broad understanding of industry-based business solutions and industry-standard methodologies.
As a Planning Specialist, you will work directly on the projects with the Project Manager in the development of the main assets of management and control of the project: PMP, schedule/S-Curve, status, risk & issues, steering committees, monitoring reports and/or everything related to the planning of activities (Testing, cutover, transition, etc.).
In this dynamic role, strong leadership and communication skills are essential for success as well proficiency in MS Project, along with exceptional organizational abilities and the capacity to thrive under pressure. Responsibilities:
- Develop, maintain, and update detailed project schedules/S-Curve and PMP.
- Provide all tasks related Bid Transition and project startup as PMO Checklist was completed and compliance.
- Collaborate with Project Managers (PMs) to integrate their inputs and reflect accurate project milestones and deliverables.
- Track project progress, identify variances, and provide early warnings on potential delays or risks.
- Perform schedule analysis, including critical path, dependency checks, and MS Project resource allocation, to optimize project timelines and ensure feasibility.
- Partner with the PMO Core team to assess project risks and devise mitigation strategies for at-risk projects.
- Prepare and present schedule performance reports to Heads and key stakeholders, offering insights into timeline adherence and project progress.
- Ensure proper documentation and archiving of schedules and related changes to maintain a comprehensive project record.
- Serve as a key contact for all schedule-related inquiries, providing guidance and resolution to PMs on scheduling conflicts or issues.
- Supports and advises PM in resolving complex client escalations and escalates to PMO Planning Lead when necessary and anticipate potential problems and address them before they escalate.
- Manages the quality of the MS project, Status Report and the project risk analysis,
- Actively participates in the quality management of on-time project delivery.
- Ensure proper use and management of project assets and adherence to company policies regarding asset utilization
- Record, analyze, and follow up on identified project risks.
- Assist PM on Bid Transition and create TCM Collaboration Portal, IPAP and Jira.
- Monitor the progress status of implementation projects, the project deliverables, and periodically provide visibility of this to the Program Management

- Establish and maintain relationships with PMO clients.
- Plan governance model meetings and support the PM in generating associated presentations.
- Ensure the use of appropriate and unified project management assets in LAD.
- Support the PM in the different subplans within the project (Testing, cutover, transition, etc.).
- Creating a comfortable and trusting environment for the client
Requirements:
- 6+ years of experience relevant to this position, including 4+ years of project or direct line management experience.
- Demonstrated ability to follow solid project management principles and successfully manage projects of increasing complexity.
- Leadership skills, with the ability to develop executive-level relationships and effectively influence and negotiate with internal stakeholders.
- Excellent communication skills to coordinate with team members in a cross-organizational environment and strong business writing skills for effective documentation.
- Expert in MS Project.
- Proficiency in risk management and extensive experience in developing, implementing, and running high-complexity Portfolio, Program, and Project Management processes.
- Proficiency in analytical abilities and experience in quantitative project management, for critical evaluation of project processes.
- Proficiency in Microsoft Office Product and expertise in Jira.
- Product, technology, or industry expertise relevant to the portfolio focus, with strong Oracle product knowledge preferred.
- Preferably degree-educated (or equivalent relevant experience) with experience working in project teams.
- Holds PMP accreditation or equivalent qualification, and Scrum Master Certification may be advantageous.
- Good interpersonal and multitasking skills, with a professional, supportive, diplomatic, flexible, and responsible demeanor.
- Advanced English proficiency required, and basic Portuguese skills may be advantageous.
Employs independent judgment in guiding moderately complex activities involved in the successful implementation of an integrated business solution, ensuring project quality and timely delivery within budget to the customer’s satisfaction. Analyzes business needs to help ensure Oracle’s solution meets the customer’s objectives by combining industry best practices and product knowledge. Effectively applies Oracle’s methodologies, policies, and procedures while adhering to contractual obligations, thereby minimizing Oracle’s risk and exposure. As a project lead, assists project team with aspects of their roles. Effectively influences decisions at the management level of customer organizations. Ensures deliverables are acceptable and works closely with the customer to understand and manage project expectations. Supports business development efforts by pursuing new opportunities and extensions. Collaborates with the consulting sales team by providing domain credibility. Manages the scope of small projects and sub-projects.
