The Role
You will be part of the HQ Supply Chain Team, supporting freight and last mile operations. Your main responsibility is to assist with day-to-day shipment coordination, vendor communication, and administrative tasks to ensure smooth logistics execution.
You will be responsible for ensuring that the freight forwarder and last mile couriers meet/ exceed expectations, and comply with import/export requirements of the intended jurisdiction to fulfil orders to customers worldwide and distribute to retail stores in the region.
This role provides foundational exposure to supply chain operations and is an opportunity to grow into a more independent role in freight and last mile management.
Your daily tasks include making freight cost comparison, booking and monitoring of shipments, to ensure timely and compliant delivery of orders to our distribution centres, customers and retail stores. Daily correspondence with suppliers and freight forwarders will be essential in this role.
Main Responsibilities
- Vendor Coordination: Assist with daily communication with freight forwarders and last-mile couriers, and escalate issues to executives when needed.
- Shipment Support: Help with booking shipments, preparing documentation, and updating shipment status reports.
- Cost & Data Management: Maintain freight cost records, prepare simple comparisons, and assist with data entry in Excel/Google Sheets.
- KPI & Reporting: Support the tracking of vendor performance by updating KPI dashboards and generating regular reports.
- Compliance Assistance: Ensure proper documentation is maintained for customs, import/export regulations, and internal audits.
- Process Support: Collect data and prepare reports to support process improvement initiatives within transportation and logistics.
- Project Support: Provide administrative support in logistics-related projects, including research and coordination tasks.
You Should Have/Be
- Strong attention to detail and accuracy - for managing shipment, freight costs, and compliance documents.
- Eager to learn and proactive in taking on new tasks - As this is a junior role, you will be exposed to a wide variety of logistics and supply chain processes. A proactive learning attitude allows you to quickly build expertise, add value to the team, and adapt to evolving operational needs.
- Supportive team player with good interpersonal skills - The role requires constant coordination with internal teams (warehouse, Order management,, finance) and external partners (freight forwarders, courier vendors). Being collaborative and approachable fosters stronger relationships, smoother communication, and more effective problem-solving.
- Reliable, organised, and committed to meeting deadlines - The wider supply chain team depends on timely updates, accurate reports, and properly documented shipments. Reliability builds trust and ensures the department operates seamlessly, especially when time-sensitive shipments are involved.
- Analytical and problem-solving mindset - Even though this is an entry-level role, being able to spot irregularities in freight costs, shipment delays, or KPI trends is highly valuable. It shows initiative and prepares you to take on more responsibility in the future.
Requirements
Qualifications & Experience
- Diploma or equivalent in Supply Chain Management, Logistics, Business, or related field (Bachelor’s degree preferred but not mandatory).
- Internship or 6–12 months of experience in logistics, supply chain, or administration preferred (fresh graduates welcome)
- Basic understanding of logistics and transport operations, shipping terms, and customs regulations will be an advantage
- Proficiency in Microsoft Excel or Google Sheets for data tracking.
- Willingness to learn reporting tools (SQL knowledge is a plus but not required).
- Good written and verbal communication skills.
- Proficiency in Mandarin necessary to facilitate communication with Suppliers.
