Summary:
This position will transition to a hybrid role once the employee is fully trained and receives management approval. Training will be completed on-site at our corporate office in Warwick, RI.
Under the general supervision of the Manager and Lead Mammography Coordinator, along with the Site Manager and according to established policies and procedures, the Patient Coordinator is responsible for assisting in the work of the mammography department. Schedules and confirms appointments, gives directions, inputs data into patient accounts, and discusses insurance and payment policies with patients prior to the patient’s actual arrival. Interacts with the radiologist, referring physicians, staff, and patients as required.
Schedule:
- Monday-Friday 9:30 AM-6:00 PM
Principal Duties And Responsibilities:
- Answer and manage high volumes of incoming and outbound calls in a prompt and courteous manner.
- Schedule over 100 appointments for diagnostic/screening mammograms, ultrasounds, and breast MRIs. Book all follow-up appointments.
- Schedule all breast biopsies for RIMI and complete follow-ups with all necessary paperwork. Help facilitate the scheduling of biopsies, communicate all required preparation instructions to patients, and perform next-day follow-up phone calls post-biopsy.
- Responsible for scheduling breast biopsies for abnormal results when instructed by radiologists.
- Build patient accounts within RIMI's electronic system and manually enter accurate patient demographic data.
- Contact referring physician offices to obtain referrals and request slips. Responsible for adding and changing exams as necessary.
- Responsible for requesting and importing all third-party images from outside facilities into RIMI systems.
- Troubleshoot and reconcile all missing referral slips for diagnostic appointments.
- Process EMR slips manually for creation of RIMI appointments.
- Coordinate workspaces for radiologists to ensure smooth operations.
- Continually sets an example for professionalism, flexibility, and high levels of patient care.
- Additional duties and projects as assigned.
Basic Knowledge/Skills:
- Interpersonal skills to interface effectively with patients who may be under physical and/or emotional stress, referring physicians, staff, the Radiologist, and fellow employees.
- Organizational and analytical skills to compile and interpret data.
- Knowledge of medical office procedures.
Education:
- High school diploma or equivalent.
- Completion of a School of Medical Secretarial Sciences program is a plus.
Experience:
- Minimum two (2) years of medical secretary experience.
