Job Description

Context & Environment

As part of China Regulatory Team, this position will support the Phileo Regulatory Affairs (RA) Manager and the project director in advancing the regulatory registration process for internal Project (focused on feed products). The role will take charge of preparing regulatory dossiers for feed export business covering over 20 countries, ensuring compliance with local regulatory requirements. The role requires high attention to detail and strong aptitude for administrative work.

Additionally, the incumbent will assist the Chief Regulatory Officer in managing the China Research Grant Fund Project, including organizing project activities, coordinating meetings, and maintaining effective communication with applicants and selected professor teams. The role requires high attention to detail, strong cross-stakeholder communication skills, and a solid background in scientific/regulatory affairs.

Duties

Support for internal ‘legal entities post-merging’ Project (Feed Export Regulatory Affairs)

  • Assist the RA Manager in preparing and compiling regulatory registration dossiers in China for the short-term Project, ensuring alignment with the feed regulatory standards in China (e.g., data verification, document organization, format standardization).
  • Support the RA Manager for the contacts with local regulatory authorities in China (regarding feed registration matters), including the request and deliverance of official documents (Free Sale Certificates, Health Certificates….) and other needed data for the update of registration dossiers in 20+ countries of destination, as required by Phileo regulatory experts worldwide.
  • Follow-up on review progress, and responding to inquiries or supplementary document requests in a timely manner.
  • Maintain a systematic database of regulatory dossiers and registration status for cross-border feed exports, ensuring accuracy and traceability of all documents (e.g., updating version records, archiving official communications).

Support for China Research Grant Fund Project

  • Assist the Chief Regulatory Officer in planning and organizing project activities/meetings for the China Research Grant Fund (e.g., application guidance and collection, progress review meetings, final report seminars, arrange the visiting from or to the selected professor’s team).
  • Manage communication workflows with project stakeholders: follow up with grant applicants on application materials, coordinate with selected professor teams to track research progress, and summarize communication records for the Chief Regulatory Officer.
  • Support the Chief Regulatory Officer in compiling project progress reports, meeting minutes, and other official documents, ensuring consistency with the requirements of the grant management authority.

General Regulatory Support

  • Collaborate with internal teams (e.g., GRAD, LIST, R&D, QA, Supply Chain, Export Sales) to collect necessary technical data (e.g., product formulas, safety test reports) for regulatory dossiers.
  • Participate in internal regulatory training sessions to stay updated on global feed regulatory trends and share key updates with the team.
  • Finish other regulatory affairs tasks arranged by the manager.

Qualifications

Educational Background

  • Master’s degree in Science-related majors; priority given to candidates with degrees in Food Science, Feed Science, Biology, Biochemistry, Chemistry, or related fields.

Language Proficiency

  • Fluent in both written and oral English: Ability to independently draft English-language regulatory documents (e.g., dossiers, official communications with foreign authorities) and conduct verbal communication with international stakeholders.
  • Proficient in Chinese (written and oral): Ability to coordinate with domestic teams (e.g., grant applicants, professor teams) and compile Chinese-language project materials.

Professional Experience & Skills

  • 1-3 years of relevant experience in regulatory affairs (preferred, not mandatory for exceptional fresh graduates): Experience in feed and food regulatory registration, cross-border export dossier preparation, or government-funded project coordination is a plus.
  • Strong attention to detail: Capable of accurately reviewing and organizing complex regulatory documents (critical for 20+ countries’ feed dossiers to avoid errors).
  • Excellent communication & coordination skills: Ability to effectively interact with local regulatory authorities (foreign and domestic), internal teams, and academic institutions (professor teams).
  • Basic computer skills: Proficient in using Microsoft Office (Word, Excel, PowerPoint) for document compilation and data management; familiarity with regulatory database tools is a bonus.
