The Opportunity
We are seeking a dynamic and highly organized Executive Assistant & Office Manager to support our Head of Sales for EMEA and oversee the day-to-day operations of our London headquarters. This hybrid role combines executive-level administrative support with office management responsibilities, requiring a proactive professional who thrives in a fast-paced, evolving environment.
You will act as a strategic partner to leadership—managing schedules, communications, and key initiatives—while also ensuring the London HQ operates smoothly and provides an excellent experience for employees and visitors. The ideal candidate will balance professionalism with a service-oriented approach, excel at multitasking, and bring strong organizational and operational expertise.
Responsibilities:
Executive Support
- Provide direct support to the Head of Sales for EMEA, including managing calendars, coordinating meetings, and arranging complex travel itineraries.
- Act as the primary liaison between executives and internal/external stakeholders, ensuring efficient communication and follow-ups.
- Prepare agendas, presentations, and meeting materials; take notes and track action items to completion.
- Handle confidential information with discretion and professionalism.
- Draft correspondence, manage calendar invites, and process expense reports in a timely manner.
- Assist in planning and executing team meetings, offsites, and regional company events.
Office & Facility Management
- Oversee the daily operations of the London HQ, ensuring a safe, productive, and welcoming environment.
- Serve as the first point of contact for employees and visitors; support onboarding of new hires.
- Manage office inventory (supplies, snacks, drinks, and company swag) and ensure employee needs are met.
- Oversee facility management, including space planning, maintenance, and office improvements.
- Manage vendor relationships, contracts, and performance to ensure quality and cost-effectiveness.
- Partner with leadership on any London office expansion or space planning projects.
Event & Program Management
- Plan and coordinate local events and programs, collaborating with the Global Employee Experience Manager.
- Manage logistics including vendor selection, negotiations, budgeting, and execution.
- Support employee engagement by helping shape a strong and positive workplace culture.
Requirements
Required Qualifications:
- 3+ years of experience as an Executive Assistant, Office Manager, or similar role in a fast-paced environment (tech start-up experience a plus).
- Proven track record in executive support, facility/office management, event planning, and vendor relations.
- Proficiency in Microsoft Office, Google Suite, and project management tools (e.g., Asana, Trello). Experience with expense management software is a plus.
- Exceptional organizational, communication, and interpersonal skills.
- Ability to manage multiple priorities simultaneously while maintaining attention to detail.
- Service-oriented mindset with a proactive, can-do approach.
- Comfortable handling sensitive and confidential information with discretion.
- Strong problem-solving skills and ability to work independently with minimal direction.

- This role is based in London, overseeing our London HQ. The successful candidate will work from the office 1–2 days per week, with flexibility to work remotely on other days.
Compensation Information:
In addition to a standard benefits and equity package, we offer a generous salary. Final compensation will vary based on seniority and relevance of experience, location, and position requirements.
This role may be eligible for potential merit increases based on factors such as individual or company performance, time in role, and other discretionary factors.
