How will you make an impact in this role?

The Acquirer Product Organization defines and evolves the Acquiring strategy and product roadmaps, while leading the Enterprise through a multi-year end-to-end transformation program designed to future-proof the Acquisition ecosystem and experiences.  

This role supports the EVP of Acquirer Product (Casey Klyszeiko) based in NY and provides broad administrative and support functions to both their leader and the broader AP organization. This position is an integral part of the team and the individual needs to be extremely proactive in anticipating and adapting to the needs of the Senior Executive. The ideal candidate must be seasoned and experienced in working in an Executive Office team, managing a wide range of administrative related tasks and be able to work independently and confidently under pressure.

Responsibilities

  • Act as a point of contact for Leader with a professional manner using discretion in answering queries.
  • Organizing and proactively maintaining calendars, including scheduling meetings across multiple time-zones, using a high level of tact and integrity
  • Assisting the EVP with appropriate email delegation, booking meetings, and reacting and corresponding on behalf. Prioritizing what is important and urgent. Acknowledging receipt/replies etc.
  • Coordinating conferences and staff meetings, including room booking, catering, security etc.
  • Organizing external business meetings, making all necessary arrangements including sending invites, reserving rooms, Webex setup etc.
  • Coordinate travel including air and hotel bookings, liaising with other AMEX offices for internal meetings and managing last-minute changes as required. (hotel, rental car, and other travel-related needs).
  • Processing monthly expense reports and reviewing expense reports for approval
  • Assisting with on and off boarding and new employee logistics
  • Tracking timekeeping for EVP and team
  • Working closely with other administrative assistants on office operations and providing back-up support when needed
  • Maintaining headcount reporting, organizational charts, and department distribution lists 
  • Managing the procurement of office supplies and other departmental needs
  • Supporting ad hoc project work as directed by leadership

Qualifications

  • An ideal candidate should have a minimum of 5 years supporting senior leaders and their teams in a fast-paced environment preferred.
  • Ability to interact effectively and diplomatically with senior management and their support staff.
  • Excellent calendar management skills across time zones
  • Ability to quickly adapt and be flexible in a dynamic workplace.
  • Strong work ethic, highly self-motivated, but understands the key need to be a great team member.
  • High level of integrity required for handling sensitive and confidential information.
  • Strong interpersonal relationships and networking skills to build and maintain effective professional relationships across all areas of the organization.
  • Highly organized with an ability to demonstrate keen attention to details, adaptability, flexibility, resourcefulness, and efficiency.
  • Demonstrated ability to take the initiative to spot problems before they arise, find solutions, and provide timely follow-through on projects.
  • Demonstrated ability to work with a sense of urgency and under pressure, as needed to manage multiple tasks and prioritize effectively.
  • Strong proficiency with MS Office, including Word, Excel, PowerPoint and Outlook required.
  • High level of proficiency with Ariba, Concur, Dayforce and other AMEX systems preferred commitment to ongoing learning and development.
  • Bachelor's degree preferred.

Minimum Qualifications

 

Salary Range: $37.50 to $59.98 hourly + bonus + benefits
