Office Manager/Appointment Setter - Garage Door Operations
Schedule:
- 35 hours- Tuesday – Thursday: 8:00 AM – 6:00 PM ; Friday: 8:00 AM – 1:00 PM (plus a break)
- Timezone : EST - NY
Join a dynamic garage door lead generation company that processes approximately 50 high-quality leads daily across the United States. This is an exciting opportunity to become the operational backbone of a growing business, where you'll manage the entire lead lifecycle from initial contact through technician coordination. You'll work directly with the business owner in a close-knit environment where your expertise and professionalism directly impact customer satisfaction and business growth. This role offers significant responsibility and the potential for expanded duties as the company continues to scale its operations.
Scope:
- Direct reporting relationship with business owner
- Small operation environment (not a large team structure)
- Potential for role expansion based on business needs and AI implementation results
- Flexible duties that may include both back-office management and customer-facing responsibilities
Responsibilities:
- Manage and process approximately 50 garage door leads per day across the United States
- Coordinate with external technician companies to assign jobs and manage scheduling
- Monitor technician performance including job completion, pricing, and customer follow-up
- Potentially answer incoming phone calls from customers if AI solution doesn't work out
- Review AI call summaries and memos to understand customer needs and lead quality
- Communicate job details, addresses, and customer information to technician offices
- Maintain oversight of the entire lead-to-completion process
- Work directly with business owner to ensure smooth daily operations
Requirements
- Minimum 2 years of experience in the following industries: garage door, air duct cleaning, or locksmiths
- Near-perfect English communication skills for American customer interactions
- Professional phone manner and customer service skills
- Ability to distinguish between high-quality and low-quality garage door leads
- (PREFERRED) Knowledge of garage door terminology and common issues (springs, remotes, etc.)
- Experience working in a fast-paced, high-volume lead environment
- Strong organizational and follow-up skills
- Ability to work independently with minimal supervision
