We’re searching for an Assistant to the Executive Vice President, someone who works well in a fast-paced setting. In this position you will initiate and coordinate a variety of duties as they relate to the successful operations of Hospital.

Job Duties & Responsibilities

  • Functions as a problem solver and decision-maker in assisting the Executive Vice President and performs other essential functions.
  • Juggles multi-task, high priority issues in a professional, courteous manner on an on-going daily basis as well as handling all other daily activities.
  • Maintains responsibility for keeping the EVP informed of important matters on an on-going basis throughout the day.
  • Prepares requisitions necessary for daily operations, e.g., check requests, purchasing requisitions, petty cash vouchers, and obtains all appropriate signatures as required. This is measured by 100% compliance with Hospital policies and procedures as observed by receiving department.
  • Performs diversified administrative functions, assesses priorities, anticipates required action and recommendations, and acts or advises EVP in an appropriate or timely manner.
  • Provides turn-around system for the direct reports to obtain the Executive Vice President’s and/or President & CEO’s signature as required on necessary documents within one day of receiving documents.
  • Prints out all monthly budget reports and spreadsheet records of all bills and distributes to EVP in a timely fashion. Manages VP pool expenditures.
  • Generates monthly procurement expenditure report to EVP in a timely manner.
  • Performs a variety of duties with latitude for exercising discretion and judgment.
  • Maintains all files within the office of the EVP in a confidential manner.
  • Composes, formats, and proofreads a variety of materials including typewritten correspondence, memoranda, and various reports as instructed.
  • Arranges travel for the EVP.
  • Participates in the Administration Suite’s receptionist relief rotation.

Skills & Requirements

  • H.S. Diploma or GED required
  • Bachelors degree preferred
  • 5 years executive administrative assistant experience required
