Characteristics:
A Telephone Operator/Confirmations Clerk performs in an environment that demands extreme flexibility in dealing with physicians, patient families, and members of the general public with many different cultural backgrounds and needs. The job demands that the Telephone Operator/Confirmations Clerk be able to perform all of the routine duties of an Telephone Operator/Confirmations Clerk working in a standard medical office. Satisfactory performance at this level requires the full knowledge, ability, and willingness to perform duties at the highest professional levels at all times. The Telephone Operator/Confirmations Clerk must continuously exercise a strong commitment to the organizational goals of the Comprehensive Blood and Cancer Center, while simultaneously exhibiting intelligence and sensitivity to extreme human needs. The job may demand work in a small congested area.
Education & Experience:
Any combination equivalent to the experience and education that are required by federal, State, and Local guidelines. The minimum requirements for experience and education are:
- Education equivalent to graduation from High School
- Ability to provide two current acceptable and verifiable professional references
- Previous office and switchboard experienced preferred
Responsibilities:
- Answers telephone calls properly and promptly within the first 3 rings
- Places incoming calls ON/OFF the answering service Mon-Fri.
- Provides clerical assistance to reception department or other departments as needed
- Informs FOM of both routine and non-routine issues involving telephone calls
- Attends and participates in in-service training programs
- Provides accurate and legible data to the FOM, physician and coworkers
- Maintains confidentiality in all matters related to the patient and the organization
- Maintains personal composure and integrity under stressful conditions
- Performs other work as assigned.
- Comfortable paging people over the PA system
- Dealing with high volume calls
- Give accurate and careful answers
- Transfer calls tactfully using set guidelines
- PBX operators will notify the staff and appropriate personnel when smoke or a fire has been detected in a calm manner
- Maintains Fax Log and distributes faxes in a timely manner following protocol
- Ensures delivery of correspondence by following protocol
- Deliver messages to the physicians using the computer Cellular Text Messaging System
- Receives and performs related assignments from the Front Office Manager or designee
- Confirms appointments as assigned.
- Maintains confidentiality in all matters related to the patient and the organization
- Maintains personal composure and integrity under stressful conditions
Requirements
Requirements:
- Must be able to work a full-time flexible schedule
- Must be able to pass all pre-employment screening (background check, drug tests, and references)
- To comply with organizational behavioral standards
- Must attend basic orientations prior to independently working as a Telephone Operator/Confirmations Clerk
- Must be able to pass all program mandated health screenings
Physical Standards:
Positions in this class are situated in a standard office environment where there is little or no exposure to variations in the weather or other similar elements. Physical agility must be such that the Telephone Operator/Confirmations Clerk is able to sit, walk, crouch, lift, and utilize phones for extended periods of time while utilizing their hands, wrists, legs, and arms. This position utilizes office machines (e.g., computers, adding machines, printers, copiers, scanners, etc.) and requires sufficient manual dexterity to operate them all. The Telephone Operator/Confirmations Clerk should be able to lift up to 20 pounds repeatedly and 45 pounds intermittently.
