Job Summary
The Executive Assistant plays a vital role in ensuring the smooth functioning of our network by providing high-level administrative support, managing complex schedules, coordinating meetings and events, and facilitating effective communication with faculty, staff, students, and external partners. The ideal candidate is highly organized, adaptable, and experienced in fast-paced educational environments.
Responsibilities & Duties
Administrative Support
- Optimize and manage the Executive Team calendars, ensuring their time is strategically aligned with key organizational priorities.
- Develop systems to organize deliverables across the organization, enhancing clarity and alignment within the executive team.
- Arrange seamless travel, accommodations, and itinerary planning for executives, including managing expense reports.
- Serve as a liaison between the Executive Team and internal/external contacts, handling communications, coordinating meeting requests, and ensuring efficient follow-ups.
- Prepare, proofread, and edit various written materials for diverse audiences, ensuring accuracy and professionalism.
- Maintaining office supplies, placing orders, and coordinating office services.
- Handling sensitive information with the utmost discretion.
- Lead biweekly project management calls to coordinate tracking and submitting various compliance documents for the network.
Special Projects and Initiatives
- Support the planning, execution, and follow-up for all committee, executive and board meetings.
- Assist in preparing for board meetings, including document preparation and engagement with board members.
- Participate in special projects, conducting research and preparing briefings, memos, or presentations that support organizational initiatives.
Qualifications & Skills
- Bachelor's degree or higher
- Excellent written and oral communication skills
- Excellent organizational skills and attention to detail
- Excellent time management skills with a proven ability to meet deadlines
- Ability to function well in a high-paced environment
- Extensive knowledge of office administration, clerical procedures, and recordkeeping systems
- Ability to maintain confidentiality and exercise discretion when handling sensitive information.
- Able to successfully pass a background check
