Position Summary:
The Events Coordinator provides support across the organization, with a primary focus on the Fundraising & Engagement Department through planning and managing events in collaboration with community partners. This role will coordinate Asheville Humane Society fundraising events as well as third-party events hosted in partnership with local businesses and organizations.
The Events Coordinator works closely with committees, vendors, volunteers, donors, sponsors, and staff to ensure the success and cost-effectiveness of events that advance fundraising goals. The position may also contribute to donor stewardship efforts, helping to strengthen relationships with supporters and prospects.
Administrative responsibilities include processing donations, preparing acknowledgment letters, and creating thank-you cards, as well as other related tasks. A successful candidate will be equally comfortable handling detailed office work and engaging with the community to represent Asheville Humane Society.
Schedule: The Events Coordinator position is a full-time (40 hours per week) position. This role offers flexibility to work hours Monday through Friday or Tuesday through Saturday. Hours are expected to increase during certain seasons and in response to specific events, resulting in work outside the normal work week, including some evenings and weekend hours.
Compensation & Benefits: The compensation for the Events Coordinator starts at $19.00/hour. Key Responsibilities
- Coordinate, plan, and implement all aspects of development events, including responsibility for fundraising events and third-party events. Collaborate, train, and provide planning and implementation support for all organizational events, including adoption, foster, volunteer, and thrift events.
- Work within prescribed event budgets and timelines to raise funds for Asheville Humane Society.
- Collaborate with the Manager of Donor Engagement and Sponsorships to plan and execute business community events, including assisting with securing locations, organizing volunteers, and handling animals as needed.
- Coordinate and oversee a communication system to manage and promptly respond to all event requests.
- Maintain files, including all required paperwork for event plans, licenses/permits, budgets, signed waivers, applications, etc.
- Generate expense and income budgets for each special event based on revenue goals. At the event conclusion, provide a written cost/benefit analysis and recommendations for improvements.
- Work closely with Fundraising & Engagement leadership to prioritize which development events AHS should pursue.
- Oversee maintenance of the organizational event calendar.
- Work collaboratively with contractors for special events, researching the best prices, and encouraging discounts and special considerations for AHS.
- Work closely and collaboratively with the Volunteer Manager.
- Assist Fundraising & Engagement staff with general administrative tasks and database additions and updates as needed.
- Collaborate with relevant staff on the development of materials related to events, promotions, and other development activities.
- Perform other duties as assigned.
Requirements
- High School Diploma or GED equivalent required.
- Strong computer skills, proficiency in MS Office, and familiarity with databases (CRM experience such as Raiser’s Edge preferred but not required).
- Exceptional verbal and written communication skills.
- Experience in community event coordination and ability to work within a budget.
- Willingness to learn proper animal handling skills and become Fear Free Certified.
- Ability to work independently, balance multiple projects, meet deadlines, and be detail-oriented.
- Strong interpersonal, organizational, and time management skills.
- Ability to work with volunteers and co-workers in a professional manner.
- Possess a valid and unrestricted driver’s license.
This position requires the ability to work in moderate noise and confined areas, and to sit at a computer for extended periods. Must have the ability to stoop, bend, reach, and lift items weighing up to 50 pounds to a level of 4 feet high, and the ability to handle dogs weighing up to 150 lbs.
