Come join the Hillendale Home Care team! We are a home care agency working with senior care clients and caregivers throughout the Bay Area and we’re looking for a Payroll Specialist to work full-time, remote in CA or AZ (must have knowledge of CA wage/hour laws).
The Payroll Specialist will be responsible for ensuring accurate and timely processing of payroll for all Hillendale sites and employees including weekly payroll for caregivers and biweekly payroll for office staff. This role is responsible for ensuring compliance with federal, state, and local wage and hour laws.
What You’Ll Be Doing:
- Process and reconcile weekly caregiver payroll and biweekly office payroll across multiple locations using Paylocity (HRIS).
- Review shift data in the scheduling system (WellSky) for accuracy, identifying shift issues and errors ahead of time, and working with the Staffing Team to correct shifts prior to starting the weekly payroll process.
- Create payroll batches for standard and off-cycle payroll needs.
- Review payroll reports for accuracy, ensuring hours worked, overtime, double time, and holiday pay are correctly captured.
- Weekly upload of scheduling system hours (from WellSky) into HRIS (Paylocity) for batch creation and payroll auditing.
- Audit payroll data for compliance with California and local wage & hour laws, including local minimum wage, overtime, weighted average overtime for multiple base pay rates during the workweek, training shifts, and travel time.
- Maintain payroll records in compliance with company policy and regulatory requirements, handle payroll inquiries, and partner with HR, Accounting, and Operations to support smooth payroll administration.
- Respond to employee payroll inquiries and resolve discrepancies in a timely and professional manner.
- Collaborate with HR to ensure proper new hire setup, terminations, rate changes, PTO/PSL accruals, and deductions (benefits, garnishments, Section 125, etc.) in Paylocity.
- Partner with Accounting/Finance to reconcile payroll registers, general ledger postings, and prepare payroll reports.
- May be required to work overtime.
Experience, Skills, And Education:
- Associate’s degree in Accounting, Finance, HR, or related field; or equivalent direct work-related experience.
- 3+ years of payroll processing experience with a high-volume of hourly employees, preferably in healthcare, home care, staffing, or distribution operations.
- Experience processing hourly payroll for CA-based employees.
- Experience processing payroll for multiple locations and multiple entities.
- Ability to review HRIS for accuracy of new hire data (I-9s, tax forms, direct deposit records, etc.).
- Ability to clearly and effectively communicate with hourly employees about their payroll related questions and inquiries.
- Proficiency in HRIS/Payroll processing systems (i.e Paylocity, ADP, Paychex, Workday).
- Proficiency with Google Workspace apps (Google Docs, Sheets, Slides, Gmail) and Excel.
