Responsibilities:
  • Work closely with AWARE’s Psychiatric Professional (Prescribers) to ensure communication and collaboration occur for integrated care. 
  • Ability to communicate ideas, instructions, and other information in a clear and precise manner using both written and oral forms of communication. 
  • Handles the day-to-day business according to office and medical guidelines. Manages daily staffing schedules to ensure the practice is running smoothly and successfully. 
  • Possess the ability to work as part of a team and embrace a culturally diverse setting. 
  • Assist in designing patient services and implementing work policies and procedures.
  • Addresses and/or perform patient scheduling, technical electronic health record issues, and daily patient flow. 
  • Optimizes provider schedules and waitlists. 
  • Regularly reviews productivity, make staffing and/or scheduling adjustments as needed. 
  • Monitors, coordinates, and follow up on referrals to internal and externally providers and partners. 
  • Ensure documentation is completed for tracking and reporting purposes. 
  • Develop relationships with representatives from other agencies- referral sources. 
  • Participate in all staff meetings, educational opportunities and supervisions as directed by supervisor. 
  • Organize consumer/client/student/patient records using electronic health records keeping. 
  • Supervise daily practice operations such as billing, debt collections, in conjunction with AWARE’s Financial  Teams, and occupational health and safety.
  • Assist in filling medication orders, including re-fills, prescription needs, and monitor the inventory for  medications and medical equipment and organize for resupply.  
  • Assist in reporting and tracking performance benchmarks, including fiscal requirements and budgetary  recommendations for the practice; monitor, verify and reconcile expenditure of budgeted funds. 
  • Maintain liaison activities with all AWARE Team Members and outside organizations to coordinate  practice business, accomplish directives and to facilitate the resolution of problems. 
  • Complete assigned reports

Requirements

Talents, Skills, And Abilities:

  •  Bachelor's degree in related field (business, administration, behavioral health) with at least one year of office or program management skills; or combinations of completed post-high school education with health care, office or management experience; or candidate demonstrates progressive experience in a health care system or office. 
  • Proficiency with Electronic Medical Records systems and software applications, including Microsoft Office Suite. Excellent written and oral communication skills. The individual adapts to changes in the work environment, manages competing demands, and can deal with frequent change, delays, or unexpected events. Accepting of individuals who are experiencing mental health and substance use needs. 
  • The individual is consistently at work and on time, follows instructions, responds to management direction and solicits feedback to improve performance. The individual is self-directed, able to successfully prioritize competing priorities and methodically and efficiently complete tasks as assigned. The individual demonstrates accuracy, thoroughness, and monitors own work to ensure completeness. Must have critical and analytical thinking skills.
