The Opportunity
This is a rare opportunity to shape the recruitment experience as part of a small, agile team at the core of the Viessmann Generations Group.
You will serve as a key point of contact for executive search partners, internal hiring leads, and candidates - particularly for our portfolio companies’ C-level hiring needs. You will bring structure, visibility, and velocity to our recruiting operations by managing interview scheduling, communication, documentation, and process alignment across a multi-entity setup. Working closely with the People & Organization (P&O) and cross-functional teams, your impact will be felt in every successful hire across our ecosystem.
1. Executive-Level Scheduling & Stakeholder Coordination
- Own end-to-end interview logistics across our portfolio: from C-suite candidates to senior internal stakeholders.
- Navigate multiple time zones, calendars, and confidentiality needs with precision and professionalism.
- Build trust and credibility in every interaction, internally and externally.
2. Process Excellence & Standardization
- Maintain structured documentation, process flows, and templates that support repeatable excellence.
- Champion consistency in candidate communication and feedback protocols.
3. Talent Ecosystem & Pipeline Support
- Collaborate with our headhunting partners to track pipeline progress and data accuracy.
- Help lay the foundation for a scalable talent pool across our platforms.
4. Tools, Tech & AI-Enabled Collaboration
- Leverage Ashby and generative AI tools to streamline coordination and communication.
- Continuously explore and test new ways to improve recruiting efficiency using technology.
- Minimum 5+ years of experience in recruiting coordination, HR operations, or executive support.
- Experience in matrixed or multi-entity environments (e.g., private equity, professional services, scale-ups).
- Demonstrated ability to coordinate high-caliber recruiting processes with executive stakeholders.
- Strong command of calendar management, interview logistics, and documentation.
- Proficiency with AI tools and ATS systems (preferably Ashby).
- Professional fluency in German and English.
- Leverage Ashby and generative AI tools to streamline coordination and communication.
