About The Administrative Team:

The Administrative (Admin) Team serves as a strategic partner and support to our senior leaders, while leading our day-to-day office operations and culture.

About The Role:

Your primary role will be to serve as a trusted partner to members of our executive team, including our Chief Operating Officer (COO) and our Senior Vice President, Programs and Policy.  You will anticipate their needs, protect their time, support strategic initiatives and/or special projects. 

In addition, you will lead our DC office operations and play an active role in shaping our culture, working in-person Monday – Friday in our downtown office location. This will include ownership of our visitor management processes, vendor and building partnership​s, and supporting facilities operations. You will cultivate office culture and manage the planning and execution of both onsite and offsite gatherings/events. 

This role will require excellent strategic thinking, organization, communications and project management skills, coupled with a high-level of sound judgment and professionalism.  

How You’ll Contribute to our Impact: 

Executive Support, Partnership & Special Projects (40%) - Provide world class support to 1-2 senior leaders (including our COO & SVP, Strategic Partnerships and SVP, Programs and Policy), anticipating needs, protecting their time, and supporting with key strategic initiatives. This includes: 

  • Support on key strategic initiatives and special projects (e.g., managing the logistics and planning for a team offsite) 
  • Strengthen executive prioritization by tracking tasks and follow up 
  • Serve as a gatekeeper supporting high-profile key relationships and communications with internal and external partners 
  • Coordinate complex calendars and inboxes, across multiple parties and time zones, proactively integrating priorities of senior leaders 
  • Ensure leaders are well prepared for meetings and travel (e.g., research, logistics, travel arrangements, visa information, etc.) 
  • Provide backup coverage for the Executive Assistant that supports ON’s CEO and President 

Team Engagement & Events (30%) – Initiate and plan team-wide events, lunches and connection opportunities. Play a strategic role for cross-team connection and culture-building, including support for offsites and events. Support with onboarding of new team members. 

Office Management (30%)  - Lead ON’s DC Office operations, ensuring that our space and norms align with our values and strategy. Propose and implement improvements to our office space, systems and processes. 

  • Visitor Management – Manage office visitor processes and norms. Acts as the first point of contact to provide a professional and welcoming experience. 
  • Vendor Relationships – Facilitate strong relationships and processes for all ON’s office vendors and on-site building relationships. Manage tracking, ordering, and inventory of office supplies, solicit and aggregate staff feedback, and proactively surface and complete projects that improve operational efficiency and service. 
  • Facilities Operations – Partner with the IT and Facilities team and building management to support building safety, security, and use policies, procedures, and systems.  

Location:

This position is required to be in the Washington D.C. office Monday - Friday from 8:30 a.m. - 5 p.m. ET.  This position will be based out of our Washington D.C. office.   

Employees are required to reside within 100 miles of ON’s Washington, D.C. office location which includes the states of Maryland and Virginia. Candidates must have a current U.S. work authorization to be considered. 

Compensation:

This is a full-time, non-exempt salaried position that features competitive pay and benefits, including health care (medical/dental/vision), paid time off, and a generous employer 401k contribution. The salary range for this role is $93,600 -$117,000. ON manages pay equity seriously and new hires generally start at the midpoint of this range. 

What You'll Bring to the Team:  

  • Minimum of 5 years of experience in office operations, executive support, project management and/or facilities management 
  • Executive support experience: a track record of supporting senior executives and leaders in fast-paced, dynamic environments  
  • Exceptional project management skills: able to manage multiple priorities seamlessly for self and others while anticipating needs and preventing conflicts before they arise. Demonstrates strong attention to detail and presents information with clarity, professional and diplomacy. 
  • Proactive problem solver and self-starter: able to bring calm and clarity to complex situations, propose solutions, and take initiative without waiting to be asked 
  • Outstanding communicator and culture builder: People-first communicator, able to put people at ease, and serve as a connector across teams. Enthusiastic about greeting visitors and building a warm and inclusive environment. Able to synthesize and present information with clarity, professionalism and diplomacy. 
  • Expert calendaring and prioritization skills: demonstrated success managing highly complex schedules across multiple leaders, time zones, and external partners.
