Your Role

The Procurement Senior Coordinator is responsible for the source to contract process for the allocated sub-categories to achieve the technical and commercial objectives, best practice probity outcomes, of the purchasing activities.

Reports to: Category Manager (Property Services)

Key Accountabilities

The Procurement Senior Coordinator is responsible for delivering effective and efficient procurement practices. These responsibilities include but are not limited to:


1. Source to contract process

  • Manage the end-to-end process of the sourcing initiative, including all key steps such as requirement analysis, search for, evaluate, qualify and recommend best value of money vendors
  • Facilitate the supplier negotiation, and supplier contract execution
  • Source and execute frame contracts and/or preferred vendor agreements by pooling demands across the University to maximize negotiation power and optimize vendor prices
  • Negotiate the most appropriate contract to deliver the universities requirements based on sound procurement principles linked to total cost of ownership, value creation and risk mitigation
  • Ensure that the RMIT legal team is engaged at the appropriate points in the process for efficiency and quality of outcome
  • Ensure that sourcing outcomes are fully documented in accordance with procurement procedures, awarded on time and that the outcomes are clearly communicated to all parties involved and internal stakeholders.
  • Ensure contract/PO is created on Workday system.

2. Reporting

  • Ensure transaction reports are generated timely as required for monitoring purpose
  • Provide procurement insights to Category Manager for driving towards cost reduction and continuous improvement strategy
  • Conduct appropriate market analysis; spend analysis and stakeholder consultation to develop effective market strategies that will inform the procurement plan to deliver the universities requirements
  • Use transactional insights and benchmarking to influence the Procurement business processes towards best practice process efficiency and effectiveness
  • Monitor key performance indicators on commercial savings, sustainability and supply chain Performance Indicators.

3. Control and Compliance

  • Ensure probity, transparency and compliance in all activities
  • Ensure that the probity associated with the source-to-contract process is never compromised by paying particular attention to critical paths in the process including but not limited to the development and execution of the market strategy, bidders list, evaluation criteria and evaluation panel membership
  • Member of Internal audit team for purchasing activity audits as required
  • Identify and take action upon actual or potential risks in the course of operation
  • Evaluate on a regular basis the effectiveness of relevant processes and controls, and take up discussion with manager as necessary
  • Maintain sustainable procurement practices aligned with leading practice systems, process, policy, financial integrity and probity, protecting the credibility of the central procurement function.

Key Selection Criteria

  • Experience and knowledge of Electrical/Mechanical and related purchasing activities
  • Experience in applying standardised policy and procedure while still delivering optimum commercial outcomes
  • Demonstrated ability to work with detail and system
  • Demonstrated ability to manage stakeholders/vendors at all level in the matrix organisational environment
  • Proven capability to drive and manage changes, with a customer-focused and result-oriented mindset
  • Ability to work in a fast paced, lean team environment with the associated flexibility
  • Excellent written and communication skills including ability to develop and deliver presentations
  • Contract duration: 12 months

English Proficiency

English is the language of teaching and communication at RMIT Vietnam. For this role, the minimum requirement is IELTS General 6.0 (or equivalent Linguaskill Business 160).
