Ecolab, the leading global developer of premium cleaning, sanitizing and maintenance products and services for the hospitality, institutional and industrial markets is seeking a Procurement Specialist (18-month contract).  In this role, you will monitor the production plan through ordering materials and supplies while balancing warehouse space. You will serve as a liaison for supplier communication and issue resolution and will be responsible to reconcile price discrepancies and accounts payables.

What You Will Do:

Materials Ordering:

  • Manage supplier relationships and proactively update management on any issues with vendors.
  • Proactively communicate with vendors and internal and external customers to ensure orders and dates are understood.
  • Coordinate with production planner to assess future production needs; balance available space with ongoing production requirements.
  • Process timely orders of materials and packaging to meet the production plan.
  • Order stock supplies and materials as per MMO guidelines, aiming for full trailer loads. Place rush orders and arrange for carrier pickups in emergency situations.
  • Review and order non-stock supplies as per guidelines, or as requested, including office supplies.
  • Expedite deliveries by contacting vendors for no-shows and late deliveries with a focus to improve quality and service; log issues on system.
  • Procure finished goods, subcontracted drop shipments, supplies and services to be shipped to Ecolab warehouses, watching inventory levels and vendor lead times. Monitor finished goods and assess needs compared to inventory.
  • Ensure that all purchases are properly approved and are consistent with Company policies and procedures.
  • Ensure vendors are approved and appropriate controls are in place for order process.

Inventory And Delivery:

  • Confirm the arrival of urgent shipments. Report service and quality issues by issuing incident reports.
  • Request/Follow up with vendors on outstanding Proofs of Delivery.
  • Communicate with Planner on delivery issues/problems pertaining to components or materials delivery.
  • On a daily basis, check raw materials held at vendor to be released.
  • On a daily basis, check drums and bottles; keep floor stock to a minimum while covering production.
  • Resolve transfer issues with off site inventory warehouse.

Department Administration:

  • Maintain electronic filing system to provide accurate and organized material and documentation for department, including vendor files.
  • Ensure invoices coded appropriately for payment.

Position Details:

  • Location: Mississauga, ON, with some opportunity to work a hybrid schedule based on business needs
  • Position primarily works in an office setting with occasional requirements to enter the plant/warehouse
  • Work week and shift: Monday to Friday, 40 hours/week
  • Contract: This is an 18-month contract

Minimum Qualifications:

  • High School diploma
  • 2 – 4 years previous related experience (supply chain, purchasing inventory, logistics)
  • Strong computer skills including experience with SAP, MS Excel, MS Outlook
  • No immigration sponsorship available for this role

Preferred Qualifications:

  • Post secondary degree or diploma.
  • Additional education/courses in logistics, inventory, purchasing or a related field.
  • Excellent interpersonal and communication (written and verbal) skills.
  • Ability to interact effectively with others, provide guidance and constructive feedback with tact and diplomacy.
  • Good organizational skills and high attention to detail. Ability to prioritize multiple projects and adjust workload accordingly.
  • Ability to work effectively with minimal supervision, showing initiative, good judgement and superior decision making skills.
  • Data analysis skills and problem solving skills.
  • Resourceful and continuous improvement focus.
  • Ability to work well under pressure, juggle tasks and work efficiently against deadlines.
