Allied Credit is a leading vehicle finance firm with strategic alliances with global car, marine and motorcycle brands. Offering white label, joint venture and floorplan finance, our proprietary software provides a seamless, convenient and customer-focused finance service to consumers and businesses.
We are seeking an Office Administrator to join our brand new Melbourne CBD office, which will serve as the hub for our 85+ VIC-based staff. This role is pivotal in supporting the setup and coordination of the new office space in preparation for staff moving in from November and will continue as the central point of contact for ensuring smooth day-to-day operations.
The ideal candidate will be hands-on, detail-oriented, and thrive in a collaborative environment. You’ll play a key role in creating a professional, welcoming and efficient workplace that enables our teams to do their best work.
What you will be doing
- Greeting and assisting visitors and vendors in a professional and friendly manner.
- Managing daily office operations and ensure a well-organised, efficient workspace, overseeing meeting room calendars and scheduling.
- Maintaining communal areas, kitchen and stationery supplies, including light housekeeping where required.
- Overseeing maintenance of office equipment and liaise with service providers.
- Acting as liaison with building management and external vendors for repairs, cleaning, and security, ensuring compliance with health and safety regulations.
- Managing seating plans, desk/ locker allocations and space optimisation.
- Maintaining accurate records of Fire Wardens and First Aid Officers, including training status and certifications.
- Serving as the first point of contact for internal staff queries related to office facilities.
- Supporting onboarding and offboarding processes, including day-one coordination for new starters.
- Collaborate with People & Culture on staff engagement initiatives, social events and wellbeing activities.
- Supporting teams with administrative tasks as needed.
- Tracking office-related expenses and assist with budget planning.
Your Background
- High school diploma or equivalent qualification in Office Administration.
- Proven experience as an Office Manager, Administrative Assistant or similar role.
- Proficiency in Microsoft Office Suite (Word, Excel, Outlook, Teams).
- Excellent written and verbal communication skills with strong organisational and time-management abilities.
- High attention to detail with strong problem-solving skills
