Summary

We are seeking a highly organized and detail-oriented Onboarding Specialist to join our Human Resources team. The ideal candidate will bring hands-on experience in onboarding and recruitment, with strong expertise in HRIS/ATS Platforms. This role is responsible for ensuring a seamless and professional transition for new hires—from offer acceptance through the first stages of employment.

The Onboarding Specialist will manage all aspects of onboarding administration, maintain compliance with company policies and regulatory requirements, and serve as a trusted resource for new employees and internal stakeholders. In addition, this position will contribute to continuous improvement initiatives aimed at enhancing efficiency, compliance, and the overall employee experience.

Essential Functions, Responsibilities, And Duties

  • Onboarding Coordination: Manage the full onboarding lifecycle, ensuring all requirements are met accurately and on time.
  • HRIS/ATS Systems Management: Administer recruitment processes in HRIS/ATS system, including requisition management, candidate tracking, interview scheduling, and pre-employment documentation.
  • Documentation & Recordkeeping: Prepare, distribute, and maintain offer letters, agreements, and new hire forms; ensure accuracy, completeness, and compliance.
  • Regulatory Compliance: Ensure compliance with labor laws, company policies, and regulatory standards across all recruitment and onboarding activities.
  • Employee Support: Act as the primary point of contact for new hires, providing guidance and support during the onboarding process.
  • HRIS Data Management: Maintain accurate employee information in the HRIS, ensuring data integrity, confidentiality, and timely updates.
  • Collaboration with Hiring Managers: Partner with managers to align onboarding processes with business needs and provide consistent communication throughout the cycle.
  • Process Improvement: Collect and analyze feedback to identify opportunities for streamlining and enhancing the onboarding experience.
  • Cross-Functional Coordination: Work with internal teams to ensure timely setup of technology, resources, and access for new employees.
  • Special Projects: Support HR initiatives, audits, compliance reporting, and departmental projects as needed.

Qualifications

Education

  • Education: Bachelor’s degree in Human Resources, Business Administration, or related field preferred (or equivalent experience).

Experience

  • Experience: Minimum 1-2 years of Human Resources experience with direct involvement in recruitment and onboarding; HRIS/ATS Systems experience strongly preferred.
  • Knowledge: Familiarity with employment laws, compliance standards, and HR best practices.
  • Technical Proficiency: Skilled in HRIS/ATS platforms, ADP preferred), Microsoft Office Suite required; and virtual onboarding tools.
