Position purpose The Production Coordinator supports the Production Supervisor by ensuring smooth, cost-effective, and timely Sheetmetal procurement, fabrication order management, material movement, and record keeping across all production departments and work sites. This role is critical in connecting suppliers, internal teams, and production workflows to deliver projects on time and to Thermosash’s quality standards.

Role Responsibilities

Procurement & Order Management

 Oversee Sheetmetal procurement, ensuring availability without under- or overstocking.

 Manage fabrication and post-finishing orders in TPM, Jobpac, and TCL Stock, aligned with production schedules.

  •  Release Sheetmetal batches into production in the correct sequence.
  •  Action stocktakes and material requests across all sites and factory departments.
  •  Generate purchase orders for material movements using cost-effective strategies.
  •  Issue and monitor tool repair orders, securing best-value solutions.
  • Material & Stock Control
  •  Accurately receipt and record all incoming materials (Sheetmetal, excluding most extrusion).
  •  Maintain stock control records for Sheetmetal and consumables.
  •  Support Kanban processes to streamline workflow and reduce bottlenecks.
  • Supplier & Cost Management
  •  Maintain supplier relationships to ensure timely and accurate deliveries.
  •  Conduct price reviews and comparisons for best-value outcomes.
  •  Proactively follow up with suppliers for order completion and accuracy.
  • Financial & Invoice Control
  •  Reconcile invoices with purchase orders and receipts, resolving discrepancies promptly.
  •  Ensure correct cost allocation to production orders.

Data & Reporting

  • Maintain and circulate key records, including:
  •  Sheetmetal Stock Spreadsheet.
  •  Internal and External WD Tracking.
  •  Site Material Request Spreadsheet.
  •  Delivery Manifest Records.
  •  Internal and External Capability Spreadsheet.
  •  Daily Production Records.
  •  Glazing Records for Silicone Warranty Applications.

Operational Support

 Disperse all ORA’s (Operational Reporting and Analytics) urgently and accurately.

 Provide daily visibility of material availability and outstanding orders.

 Identify process gaps and propose improvements in procurement, stock, and supplier coordination.

Qualifications, certifications and experience

Essential

 Minimum of NCEA Level 3 (NZQA standard) or equivalent secondary qualification.

 Further education or training in production planning, supply chain, logistics, or a related field (certificate or diploma level).

Desirable

 Tertiary qualification (degree or diploma) in supply chain management, business, operations, or engineering.

 Professional certification in supply chain or planning (e.g., APICS CPIM, CIPS, Lean Six Sigma).

 Ongoing professional development in ERP/MRP systems.

Technical Competencies

 ERP / MRP System Proficiency – Skilled in using systems such as TPM, Jobpac, SAP, Dynamics, or equivalent for procurement, inventory, and scheduling.

 Inventory & Stock Management – Knowledge of control methods (FIFO, safety stock, cycle counts) and reconciliation processes.

 Production Scheduling & Planning – Understanding sequencing, capacity constraints, and real-time schedule adjustment.

 Costing & Financial Control – Capable of reconciling invoices, allocating costs, and monitoring variances.

 Data Analysis & Reporting – Proficient in Excel (formulas, pivot tables, lookups) and reporting dashboards; ability to identify trends and bottlenecks.

 Quality & Compliance Knowledge – Familiarity with ISO standards, safety requirements, and quality assurance processes.

 Lean / Continuous Improvement – Knowledge of Lean, 5S, and process improvement principles to enhance efficiency and reduce waste.

 Supply Chain & Procurement Fundamentals – Understanding of sourcing, vendor management, lead times, and cost optimisation.

 Manufacturing Process Understanding – Awareness of Sheetmetal fabrication, tooling, and finishing workflows.

 Document & Record Management – Skilled at maintaining purchase orders, manifests, warranties, and production tracking records.

 Change & Problem Solving – Ability to adapt quickly, resolve issues, and apply root cause analysis when delays or shortages occur.
