The Opportunity:
As Business Operations Associate you will contribute to the successful execution of brand team projects and events by providing operational and administrative support across Commercial, Medical, Market Access, Patient, Communication, and Operational Excellence functions.
In this role you will ensure compliance with Astellas policies and Ethics and Compliance (E&C) standards, while enabling seamless collaboration with internal stakeholders and external partners. Ultimately, you will drive operational excellence that supports patient benefit.

Key Responsibilities:
- Provide operational and administrative support to projects and events across Commercial, Medical, Market Access, Patient Relations, Communication, and Operational Excellence, ensuring alignment with Astellas policies and E&C requirements.
- Manage end-to-end event logistics, including vendor coordination, budget requests and reviews, purchase order processing, and compliance with internal systems.
- Coordinate the preparation and approval of materials related to assigned projects and events, ensuring accuracy and timely delivery.
- Support the execution of meetings and events (in-person, hybrid, and virtual), handling logistics such as venue booking, travel and accommodation, platform setup, and speaker arrangements.
- Maintain effective collaboration with stakeholders (Business Operations Coordinators, project owners, and cross-functional teams) to anticipate needs, resolve system/process issues, and ensure smooth execution.
- Contribute to process improvement initiatives by identifying operational challenges, suggesting enhancements, and supporting the implementation and communication of updated practices.
Essential Knowledge & Experience:
- Solid experience in administrative support or customer service-related activities.
- Fluent in Spanish and Intermediate in English.
Preferred Knowledge & Experience:
- Strong user skills in Office 365 and Microsoft Excel.
- Experience with event and content management platforms, such as Veeva Event Management and Vault Promomats / Vault Medical.
- Familiarity with procurement and contracting systems, including SAP Ariba / DocuSign.
- Experience using travel and expense management tools, particularly SAP Concur.
Education/Qualifications:
- Bachelor’s degree or equivalent.
Additional Information:
- This is a permanent, full-time position.
- Location: This position is based in Spain.
- This position follows our hybrid working model. Role requires a blend of home and a minimum of 1 day per week in our respective local affiliate office. Flexibility may be required in line with business needs. Candidates must be located within a commutable distance of the office.
