Description
Atlanta Women’s Healthcare Specialists, LLC is seeking a detail-oriented, and dependable Imaging Administrative Assistant to join our growing team. This is an excellent opportunity to support our mission of empowering women through collaborative, patient-centered healthcare in a dynamic.
Essential Duties/Responsibilities:
Clinical Preparation & Patient Support
- Prepare patients for visits by reviewing schedules and checking RIS, prior images, BIRADS, and incoming reports.
- Retrieve mammogram folders from storage.
- Manage patient history sheets and incoming prior images using Nuance and Televox systems.
- Note and track all images sent to other facilities in PenRad.
- Notify techs of ill or distressed patients and assist with arranging transportation when needed.
Administrative & Front Desk Support
- Welcome and assist patients and visitors in person and by phone; respond to inquiries or direct them appropriately.
- Check patients in and collect ID, insurance cards, and demographics when necessary.
- Call all Imaging-only patients, including follow-ups for non-responsive patients in Televox.
- Maintain reception and work areas in a neat, organized condition.
- Perform administrative tasks such as faxing reports, transcribing handwritten information, proofreading, and sorting mail.
- Schedule appointments and assist with billing or payment processes as needed.
- Participate in emergency response procedures (e.g., call 911 and STAT team; assist as needed).
Documentation & Records Management
- Complete all required documentation accurately.
- Burn and download CDs for release and incoming patient records.
- Manage the release and receipt of patient records in line with privacy protocols.
- Open, sort, and distribute incoming mail; deliver outgoing mail at end of day.
Equipment & Maintenance Supply
- Ensure workstation upkeep and cleanliness.
- Keep work areas clean and free from clutter.
- Stock and order office and clinical supplies as needed.
Team Support
- Provide backup support for front desk and ultrasound departments.
- Maintain consistent attendance to support patient care and facility operations.
- Perform other duties as assigned by supervisors or management.
- Knowledge of office policies and procedures to accurately answer questions from patients.
- Knowledge of administrative and clerical procedures and systems such as word processing, Microsoft Office, managing files and records, stenography and transcription, and other office procedures and terminology.
- Knowledge of principles and processes for providing customer and personal services. This includes customer needs assessment, meeting quality standards for services, and evaluation of customer satisfaction.
- Knowledge and correct usage of imaging terminology.
- Ability to navigate and effectively use EMR. Knowledge and experience with Centricity EMR system is preferred.
- Ability to maintain confidentiality and professionalism.
- Ability to effectively and clearly communicate in writing, over the telephone, and in person with physicians, office staff, and patients.
- Ability to work as part of a team and promote a positive work environment.
- Ability to listen and understand information and ideas and adjust actions accordingly.
- Ability to maintain consistent attendance to assure that the client facility needs and patient needs are met.
- Ability to comply with all facility policies, procedures and practices.
- Ability to follow directions/instructions from supervisor.
- Skilled in establishing and maintaining effective working relationships with other employees, patients, and the public.
- Skilled in organization, attention to detail, and task prioritization.
- Skilled in ability to exercise independent judgement and ability to proactively look for ways to help people.
- Skilled in using logic and reasoning to identify the strengths and weaknesses of alternative solutions, conclusions or approaches to problems.
- Skilled in understanding patient needs to provide exceptional customer service.
Education And Experience:
- High school diploma or GED required, associate's degree or higher preferred.
- 2-3 years of previous administrative and clerical medical office experience.
- Experience with patient scheduling, insurance verification, and assessing and transferring phone calls.
- Experience operating office equipment.
- Experience in customer service field.
Physical Requirements:
- Prolonged periods of sitting or standing at a desk and working on a computer in a stationary position. Must be able to remain in a stationary position for a prolonged period of time.
- Frequently operates a computer and other office machinery, such as a calculator, copy machine, computer printer.
- Must be able to lift up to 25 pounds at times and transport up to 25 pounds at a time short distances.
