Normal Work Schedule: Monday - Friday 8:00am to 5:00pm
Job Summary: The Administrative Assistant II provides administrative support for the operations of unit. Performs moderately complex and well documented administrative tasks. Acts as office liaison/receptionist. Receives and routes phone calls, emails, and/or guests. Maintains files and enters data. Drafts and sends communications on supervisor/departmental staff behalf. Reconciles P-Card/Concur for other staff/faculty against departmental budget. Performs some simple budget monitoring/entry. Operates standard office equipment such as personal computers, copiers, fax machines, etc.
Additional Department Summary: Oversees general administrative and secretarial duties with some variety and complexity, including receiving, screening, and routing telephone calls; sorting mail; assisting visitors; arranging itineraries and agendas; assisting in planning meetings and events; setting up and maintaining files (database and /or hard copy); typing a variety of material; compiling data and preparing reports; purchasing office supplies and materials; maintaining records; and acting as daily liaison to other offices. Assists Associate Deans with faculty development programs. Monitors the Barefield College of Arts and Sciences academic misconduct process.
Required Minimum Qualifications: High school diploma or GED and two (2) years of administrative experience; OR associate’s degree or higher.
Skills and Knowledge: Proficiency with Microsoft Office Suite, OnBase, Concur, Box, BuyBama. Strong written and verbal communication skills. Ability to work with minimum supervision. Excellent time management skills. Ability to strictly adhere to the University's policies on records retention and confidentiality.
