Job Description

Duties And Responsibilities

  • Manage and update the hotel's event space booking program, maintaining communication with the Sales, Revenue, Banquet Operations, and Reservations Managers.
  • Coordinate all group requests once the contract has been signed and deliver all details to Reservations once billing details and the rooming list have been received.
  • Relay all reservation and cancellation details for transient corporate accounts and groups to the Reservations team.
  • Coordinate the event space booking process from the initial inquiry through to the meeting with the event planner on the day of the event to provide comprehensive service.
  • Ensure the event space is set up according to the event planner's requirements and act as the main point of contact on the day of the event.
  • Uphold the highest standards of professional contact with clients.
  • Send banquet event orders (BEOs) and/or contracts to the event planner and ensure signatures are obtained.
  • Coordinate all food and beverage requirements, including restaurant needs, for event planners using event space as well as for any hosted groups.
  • Assist the Sales Managers.
  • Act as an effective liaison between the client, meeting planner, production company, and the property’s Director of Operations, properly managing any objections that arise—always in the best interest of the hotel, its facilities, and its staff.
  • Produce a monthly production report for the Director of Sales & Marketing.
  • Post all room and equipment charges to the client's account.
  • Perform related tasks and special projects as assigned.
  • Maintain a positive attitude and pay close attention to detail throughout the shift.
  • As a key team member, offer support to colleagues in need—whether within your department or others.
  • Stay calm during peak periods to work efficiently and ask for help when needed.
  • Carry out any other reasonable task assigned by the supervisor or manager.
  • We recognize that we are in the hospitality industry, which may require us to provide lateral service. Occasionally, each team member may be asked to perform various related tasks as needed, all in the interest of delivering exceptional customer service.

Qualifications

Who You Are?

  • One to two years of experience in a similar role
  • Proficiency in MS Office and CRM systems
