Job Description

The primary purpose of this position is to compile, process, maintain, organize, and audit vendor information, invoices and payments in an efficient and accurate manner.  Will also contribute to TOMRA Food Finance department functions and initiatives.   

Primary Job Functions

  • Compile and maintain accounts payable documents and records
  • Process 3-way match of purchase orders, receiving documentation, and supplier invoices
  • Process invoices for non-PO expenses
  • Process customs invoices and manage related documentation
  • Review invoices for appropriate documentation and approval prior to payment
  • Ensure compliance with TOMRA’s Chart of Authority for all invoices and expense reports
  • Process supplier payments in compliance with supplier’s terms
  • Match supplier payments to invoices
  • Reconcile supplier statements, research and correct discrepancies
  • Assist with travel & expense review and processing
  • Send credit card statements to cardholders; reconcile credit card documentation and approvals
  • Assist in monthly closing routines
  • Assist in the annual audits by preparing assigned reports or providing documentation as directed
  • Manage communications and inquiries with external and internal suppliers
  • Manage administrative tasks for facility and department
  • Perform other duties & analyses as assigned

Qualifications

  • Associate’s degree (Técnico de Nivel Superior) in Accounting, Finance, Business, or a related discipline, and/or relevant experience
  • Minimum of 3–5 years of experience in Accounts Payable.
  • Advanced Excel skills required; IFS knowledge is a plus.
  • Advanced proficiency in English, both written and spoken, is mandatory for effective communication in TOMRA's global work environment
  • Familiarity with accounting software and ERP systems
  • Understanding of end-to-end accounts payable processes
  • Familiarity with tax concepts relevant to accounts payable
  • Strong numerical skills to work with financial data and recognize discrepancies in part numbers, invoice numbers, quantities, dates, unit and extended costs, and tax calculations
  • Capacity to handle a high volume of transactions without compromising accuracy
  • Skill in prioritizing tasks, meeting deadlines, and managing multiple responsibilities simultaneously
  • Keen attention to detail and a quick learning mindset
  • Competence in identifying and resolving discrepancies or issues in a timely and effective manner, with a proactive approach to implementing solutions
  • Clear communication with vendors, colleagues, and other stakeholders
  • Flexibility to adapt to changes in processes, technology, and organizational structures
  • Comfort working in an open office environment
  • Readiness to thrive in a fast-paced and customer-centric environment
