Purpose

The Assistant Director of Admissions for Athletic Processing and Articulation serves as the primary liaison to the Athletics Department, ensuring the accurate and timely processing of domestic and international student-athlete applications. This role supervises two full-time staff and provides specialized articulation support to the transfer processing team, including transcript evaluation and credit rule maintenance. The Assistant Director ensures that workflows meet institutional and NCAA requirements and supports consistency in transfer and athletic admissions operations.

Responsibilities

  • Serve as the primary liaison to the Athletics Department, collaborating with compliance staff and enrollment services to ensure the timely and accurate processing of student-athlete applications. Provide expert guidance on admissions procedures and timelines.
  • Supervise two full-time employees who support the processing of domestic and international athletic applicants. Ensure accuracy, timeliness, and compliance with NCAA and university policies. Provide training, daily guidance, and performance feedback.
  • Maintain the Automatic Transfer Equivalency (ATE) system. Provide articulation support to the transfer processing team, including evaluating transfer credit from domestic and international institutions, maintaining articulation rules, processing transfer files, and resolving complex credit issues in coordination with the Transfer Credit Evaluation team.
  • Ensure accurate and timely data entry and decision posting for student-athlete applicants. Troubleshoot file issues, monitor progress, and escalate barriers to the Associate Director when needed.
  • Maintain up-to-date knowledge of NCAA and institutional eligibility policies, ensuring processing workflows align with compliance requirements and documentation standards.
  • Assist in developing and refining procedures related to athletic processing and articulation. Contribute to process improvements and documentation updates in collaboration with the broader transfer and processing team.
  • Participate in regular meetings and communication with recruitment, compliance, and processing teams, ensuring transparency and consistent application of policy across athletic and transfer admissions cases.
  • Perform other duties as assigned.

Required Qualifications

Bachelor's degree. Five years of increasing responsibility in higher education project management and administration. Demonstrated success in collaborating with others in a team environment. Demonstrated ability to manage multiple overlapping projects, and to work independently. Demonstrated excellent written and verbal interpersonal communication skills and professional demeanor. Demonstrated ability to work in a fast-paced work environment under the pressure of deadlines.

Relevant education and experience may be substituted as appropriate.

Preferred Qualifications

Master’s degree. Five years of experience working with undergraduate international students. Extensive experience with Microsoft Office (Excel, Word, PowerPoint) and Slate. Experience using Cognos. Experience working with sensitive and confidential materials. Extensive familiarity with academic programs and admissions processes and procedures at UT Austin. Familiarity with NCAA eligibility rules.

Salary Range

$61,260
