The Position

The Opportunity

The Principal Administrative Business Partner provides high-level support to the PTQ IMP Team, PTQ Leadership, and the broader PTQ community by coordinating and executing a wide range of administrative responsibilities, including project oversight, event planning, and meeting management. This role is essential in ensuring operational excellence and supporting the success of Quality functions across the organization. You will collaborate closely with senior leaders and cross-functional teams across PT to enable smooth day-to-day operations. Success in this role depends on your ability to combine administrative expertise with an understanding of business priorities, effectively bridging operational needs with strategic support. Strong communication skills, attention to detail, and the ability to manage multiple priorities in a dynamic, fast-paced environment are critical.

Job Responsibilities:

  • Executive Scheduling & Coordination: Expertly manage complex calendars across multiple time zones, including scheduling with senior leaders, internal and external stakeholders, and confidential or high-profile participants such as government officials. Oversee logistics for senior committee meetings, global summits, department offsites, and leadership team sessions.
  • Strategic Event & Meeting Management: Lead the planning and execution of high-visibility events such as Global Town Halls, Congress meetings, and departmental offsites. Responsibilities include agenda design, stakeholder alignment, venue and vendor coordination, speaker management, contract handling, technical support planning (e.g., AV), and end-to-end logistics. Collaborate closely with Strategic Event Services while independently managing events as needed.
  • Communications & Engagement: Draft high-quality communications on behalf of leaders and departments. Drive internal communication strategies in collaboration with leaders and communications teams, managing channels like newsletters, gSites, Currents, and intranet pages. Collect and incorporate feedback, support surveys, and curate content to ensure impactful, aligned messaging.
  • Employee Experience & Team Culture: Champion employee engagement through milestone recognition, onboarding support, informal team activities, and coordination of team huddles. Manage end-to-end logistics for interviews and candidate experiences. Foster a cohesive community spirit across PTQ and broader PT functions.
  • Operational Excellence: Act as a central resource for administrative and operational queries. Manage facility and IT service requests, space planning, office supplies, and ensure compliance with internal processes. Maintain departmental infrastructure including email distribution lists, shared drives, content libraries, and shipping/logistics.
  • Finance & Vendor Management: Manage purchase orders, vendor invoicing, SOWs, and contract workflows. Participate in vendor selection and RFP processes, ensuring compliance and efficiency.
  • Cross-Functional Collaboration & Global Reach: Build strong relationships with teams and stakeholders across multiple time zones. 
  • Process Improvement & Problem Solving: Help teams navigate complex scenarios, define new processes, and apply pragmatic solutions. Actively contribute to continuous improvement by sharing insights, proposing new ways of working, and championing best practices across the organization.
  • Autonomy & Prioritization: Demonstrate strong judgment in prioritizing workloads across multiple stakeholders. Ensure business-critical needs are met with high quality, agility, and alignment to strategic goals.

Who You Are

We are looking for someone who has the ability to work autonomously, prioritize effectively, and resolve issues in fast-paced, evolving environments. High level of attention to detail and accuracy in all work activities. You are able to foster team culture through milestone recognition, internal communications, and community activities.Additonally, you are comfortable operating across time zones and geographies; builds strong cross-functional relationships in hybrid or remote environments.

Furthermore, you bring the below required skills and qualifications:

  • 5–7 years in administrative, operational, or project coordination roles, ideally in the pharmaceutical or biotech industry.
  • Proven track record supporting senior leaders or executive teams, managing complex calendars, confidential communications, and high-visibility meetings.
  • Advanced user of Google Workspace (Gmail, Calendar, Drive, Slides, Sheets), Microsoft Office, Adobe Acrobat, or other collaboration platforms.
  • Strong written and verbal communication skills with professionalism and discretion. Fluency in English required; German language skills preferred.
  • Experience supporting or managing administrative aspects of projects, including scheduling, documentation, and stakeholder communications.
