Export Documentation Specialist

Description

We are looking for Export Documentation Specialist to join our amaZing team in Odessa! 

Key Responsibilities:

• Prepare, review, and issue draft Bills of Lading and manifests; ensure timely corrections and compliance. 
• Assist with export documentation (including invoices) while maintaining accuracy and adherence to procedures. 
• Handle export-related correspondence promptly and maintain effective communication with customers, suppliers, and global offices. 
• Compile, update, and provide accurate data on bookings and loadings. 
• Ensure smooth collaboration with internal teams such as operations, documentation, accounting, and equipment control. 

Requirements

• Minimum 2 years’ experience in a Documentation Specialist role within the shipping industry 
• Higher education degree in Maritime, Shipping, Logistics, or related field (Odesa National Maritime University preferred) 
• Strong knowledge in Ukrainian shipping and logistic market, experience in UA shipping industry during martial law period  
• Proven experience in export documentation, coordination, logistics, or shipping operations 
• Strong relationship management, analytical, and problem-solving skills 
• Quality-oriented with ability to follow, create, and improve processes according to KPIs and objectives.  
• Ability to manage multiple tasks under time pressure, with a high level of accuracy and attention to detail 
• A collaborative, team-oriented mindset combined with a proactive and results-driven approach 
• Excellent interpersonal and communication skills with a strong customer focus. 
• Proficiency in Microsoft Office (Excel, Word, PowerPoint) as well as web-based and email systems, CRM software packages.
