Functional Description:
- Provide high-level administrative support to the leadership team of a prominent Program Management Office.
- As a Journeyman level EA, conduct research, prepare statistical reports, handle information requests, and perform clerical functions such as preparing correspondence, receiving visitors, arranging conference calls, and scheduling meetings.
- Regularly interact with senior leadership within the PMA, external stakeholders, and OEM's.
- The EA works in a fast-paced office environment that demands attention to detail, professionalism, and leadership, with the ability to be the face of the organization.
- The EA will be a member of the Operations Team and support the smooth operation of the E-130J program under PMA-271.
Duties And Responsibilities:
As an Executive Administrative Assistant, you are responsible for key administrative functions in coordination with senior management. Provide executive administrative support to Level 1s and senior staff of the PMA. The position would be responsible directly to E-130 leadership and be a member of the Operations Staff ensuring the execution of administrative tasks are performed at the highest level in a timely manner.
Specific Tasks Include:
- Coordinate with the Operations Lead to respond to tasks related to the PMA’s operations.
- Run the daily stand-up meetings to keep everyone connected and on track.
- Use MS Teams and SharePoint sites to control and manage data.
- Coordinate with IT and the team to identify and solve technical issues.
- Support Level 1 leadership to prepare and update briefings for senior NAVAIR Flag Officers.
- Set up and manage conference room scheduling, calendar updates, and meeting notices.
- Assist setting-up classified VTCs.
- Work with the PEO (A) office to schedule meetings between PEO (A) and the E-130J team.
- Update and maintain slides for team meetings.
- Coordinate data calls.
- Develop and update PowerPoint presentations.
- Maintain calendars, TDY schedules, and prepare future planning schedules.
- Deconflict schedules as required.
- Schedule program Gate reviews with N98 and Level 1 leadership.
- Plan and schedule internal review sessions to ensure team preparedness to brief key points with key external stakeholders.
- Run the monthly team recognition award.
- Review and process travel vouchers for Level 1s.
- Prepare documents such as memorandums, endorsements, and MOAs are in accordance with the Naval Correspondence Manual.
- Manage onboarding and offboarding keeping personnel records up to date.
Required Experience:
Minimum of 3 years of combined experience performing duties described in the functional description.
Desired Experience:
Intermediate or higher-level skills in Microsoft Office. Experience in MS Teams, Adobe Acrobat, and SharePoint.
Education Requirements:
HS degree or equivalent.
