Administrative Assistant II, College of Nursing
Job Summary
The Administrative Assistant II serves as a first point of contact for the College of Nursing and
provides clerical and operational support to the College of Nursing, assisting faculty, staff, and
leadership with daily administrative tasks. This role ensures smooth office operations, supports
academic and student activities, and provides excellent customer service to students, faculty,
And Campus Visitors.
Duties And Responsibilities
Front Desk & Reception
? Serves as a primary receptionist for the academic suite at the College of Nursing,
greeting students, faculty, staff, and visitors in a professional and welcoming manner.
? Answers and directs phone calls, responds to general inquiries, and routes messages
Appropriately.
? Maintains reception areas and ensures a professional, organized, and student-friendly
Environment.
Office & Operational Support
? Track office supply inventory, place orders, and assist with vendor coordination.
? Assist in scheduling conference rooms, simulation labs, or event spaces for the College
Of Nursing
? Support event coordination such as faculty meetings, workshops, or student activities
hosted by the Campus Leadership team
? Perform general clerical duties including answering phones, managing emails,
scheduling appointments, and greeting visitors
? Maintain office filing systems, records, and databases in accordance with university
Policies
Academic & Student Support
? Ensure professional and timely communication between the Corona campus, faculty,
staff, and other university departments
? Assist with distributing announcements, newsletters, or communications to the college
Community
? Assist faculty with copying, scanning, and preparing course materials
? Support scheduling of classrooms, labs, and simulation spaces as needed
? Provide basic guidance to students regarding office processes and direct them to
appropriate resources or staff
Data & Recordkeeping
? Maintain accurate records for departmental activities and student files (as permitted).
? Assist with data entry, simple reporting, and document preparation to support
accreditation and compliance needs.
Other Duties
? Support faculty and staff with other routine administrative needs.
? Maintain a professional and welcoming environment in the College of Nursing office.
Qualifications
Education & Experience
? High school diploma or GED required; associate’s degree preferred.
? 2–3 years of administrative or receptionist experience; prior experience in higher
education is a plus
? Experience supporting higher education leaders preferred
Skills & Competencies
? Proficiency in Microsoft Office and Google Workspace tools and ability to learn
University Systems.
? Excellent interpersonal and customer service skills, with the ability to interact with
Diverse Populations.
? Strong organizational skills, attention to detail, and the ability to manage multiple
Priorities.
? Discretion and professionalism in handling confidential or sensitive information.
? Reliable, flexible, and able to work effectively in a dynamic, student-focused
Environment.
