Title: DCCE Administrative Assistant

Position Purpose:

The DCCE Administrative Assistant is the first point of contact for the DCCE office and oversees a wide range of administrative and support functions. This role requires building positive relationships with people from all backgrounds and skill levels, and also requires excellent organizational, time management and attention to detail skills.

Job Duties:

Communication:

  • Primary point of contact for the DCCE office and handles general inquiries from various channels (phone, email, website) and ensuring they are directed to the correct department for a swift and appropriate response.
  • Maintains the DCCE Employee Calendar and DCCE Handbook.
  • Assists with the creation of internal and external communications.
  • Ensures all institutional and departmental communications are properly posted for employee access.
  • Ensures documents are interpreted as necessary.

Operational Management:

  • Orders necessary supplies to keep the office running.
  • Ensures office equipment is well-maintained and functional.
  • Manages the flow of people or tasks within the office to maintain efficiency.
  • Assists DCCE staff by answering general questions and collaborating with campus partners to provide accurate, up-to-date information.

Scheduling And Tracking:

  • Schedules and tracking departmental/division training sessions.
  • Schedules and tracking important meetings like Town Halls.
  • Submits and tracks attendance and incident reports.
  • Works closely with campus partners to schedule employee meetings as needed.
  • Schedules interpreting services.

Additional Responsibilities:

  • Oversees Meal Card distribution.
  • Attends DCCE town and divisional meetings.
  • All other duties as assigned.

Minimum Qualifications:

Education

  • High School diploma required.

Experience

  • Previous experience in a similar position is required.
  • Previous experience in a collegiate food service environment is desired.
