Your Role: The Heart of Our EMEA HQAs our Office Coordinator, you’re not just the first face people see, you’re the engine that keeps our Amsterdam HQ running smoothly. From managing the office and facilities to supporting onboarding, organizing employee events, internal communications, and help drive our team culture, you’ll play a vital role in creating a welcoming, efficient, and inspiring workplace for our EMEA team. This is a full-time, on-site role (Monday–Friday, 8:30–17:30), perfect for someone who thrives in a fast-paced, people-focused environment and loves making things happen behind the scenes.

Your Job:

  • Be the Face of Brooks:
  • Welcome visitors and manage front desk operations with warmth and professionalism.
  • Handle incoming calls, mail, and deliveries with care and efficiency.
  • Keep shared spaces such as the lobby, meeting rooms, kitchen and mail room organized and presentable.
  • Keep Us Moving:
  • Be the point of contact for travel-related questions, help with travel bookings.
  • Administer the EMEA HQ car fleet, including contracts, administration, and logistics.
  • Liaise with vendors (cleaning, landlord, parking, electricians, security, etc.) to ensure smooth operations.
  • Coordinate office safety, ensuring all equipment and certifications are up to date.
  • Support Our People
  • Facilitate onboarding and offboarding processes, including equipment, access, and distribution lists.
  • Assist with meeting setup, catering, and cleanup, and manage meeting room calendars.
  • Perform ad hoc administrative tasks and support EMEA-wide processes and projects.
  • Drive Team Culture:
  • Organize engaging office events for the EMEA HQ team, onsite and offsite (up to 110 employees).
  • Support planning and logistics for EMEA Wide Employee Events in the Netherland or abroad (up to 280 participants).
  • Help set up hybrid EMEA Townhall Meetings and Morning Coffee Sessions.
  • Assist the DEI Committee in coordinating inclusive and meaningful activities.
  • Keep Us Connected – Internal Buzz & Communications
  • Maintain and update the EMEA SharePoint site, ensuring key resources are accessible and current.
  • Be part of the BrooksLifeEMEA News Content Team to create content for our intranet site and the BrooksLifeEMEA Employee Newsletter.
  • Help foster a sense of community and transparency across the region by keeping employees informed, inspired, and connected.
  • Collaboration Across the Region:
  • In this role, you’ll be part of a collaborative and supportive team. You will work on a daily basis with another Office Coordinator at EMEA HQ, ensuring seamless coordination and coverage.
  • Additionally, you’ll work closely with Office Coordinators across the EMEA region to share best practices, align on processes, and contribute to a unified employee experience across all offices.

What You Bring:

  • MBO or HBO degree in Hospitality Management, Facilities, Tourism or a related field.
  • 1+ years of experience in (hotel) administration, office coordination, customer service.
  • A proactive, service-oriented mindset with a flexible, can-do attitude.
  • Strong communication skills in both Dutch and English.
  • Excellent organizational and time management skills; you know how to prioritize and get things done.
  • Tech-savvy with solid skills in MS Office (Word, Excel, Outlook, PowerPoint, SharePoint).
  • A passion for creating a positive, people-first workplace.
