Job Overview

SFM is seeking a highly organized and proactive professional to serve as an Executive Assistant to four senior individuals. This is a full-time, 4 days in office position, based in either our Greenwich, CT or New York, NY office.  The ideal candidate will act as a trusted partner, ensuring seamless day-to-day execution of priorities while exercising discretion, professionalism, and excellent judgment in a fast paced environment.

Major Responsibilities

  • Provide high-level administrative support to ~four senior leaders/portfolio managers.
  • Manage telephones: Triage incoming calls, handle directly where possible, and escalate as needed
  • Oversee complex calendar management: use discretion to schedule and confirm meetings with internal and external parties; remind managers of upcoming meetings and assist in material preparation and distribution
  • Coordinate domestic and international travel arrangements
  • Build and maintain strong external relationships crucial to the success of the teams you support (e.g. brokers, company management teams, etc.)
  • Prepare meeting summaries, notes, presentations, memos, board reports, and other correspondence
  • Process travel and expense reports via Workday.
  • Manage or assist with various department projects as needed
  • Provide back-up coverage for executive and administrative assistants on an as needed basis
  • Handle occasional personal tasks.

We anticipate the base salary of this role to be between $100,000-$125,000. In addition to a base salary, the successful candidate will also be eligible to receive a discretionary year-end bonus.
