The UMaine Transportation and Resilient Infrastructure Program (UTRIP) operates within UMaine’s Advanced Structures and Composites Center (ASCC) and consists of a growing collaboration of very large transportation related projects. We pursue transformational research and development of our nation’s transportation infrastructure to include highway, bridge, railway and marine components and to increase their lifespan and durability while reducing the cost to construct and maintain them. We work closely with state and federal partners, as well as industry stakeholders, in our research efforts.

The purpose of the UTRIP Administrative Specialist is to support all administrative needs of the program. This position reports directly to the UTRIP Project Coordinator. The primary responsibilities of the UTRIP Administrative Specialist include, but are not limited to, data entry; responding to email and phone requests; organizing/filing project emails; uploading reports to and data entry for the website; assisting the Communications Specialist with outreach efforts; composing and delivering meeting minutes; and developing and updating administrative processes. Full time, regular, soft-money funded position, 40 hours per week, 5 days a week. Daily work hours are Monday – Friday, 8:00 a.m. to 4:30 p.m. This position pays $21.09/hour.

Qualifications:
Required: 

  • 60 credits or more of higher education or equivalent work experience and training. 
  • Minimum of three years of administrative/office experience. 
  • Demonstrated skills in operating office equipment (I.e. printers, copiers, scanners, etc.). 
  • Comprehensive knowledge and experience with Google Suite, including Sheets, Docs, Forms, and Calendar.
  • Extensive knowledge and experience with Microsoft Office Suite are required, including Word, Excel, Publisher, and PowerPoint.
  • Proven written, oral, electronic, and interpersonal communication skills.
  • Demonstrated ability to prioritize and manage workload with changes priorities and multi-task in a fast-paced, team oriented, and customer driven environment. 

Preferred:

  • Associate’s degree.
  • Experience with Adobe Suite, especially Adobe Acrobat Pro.
  • Digital media (i.e. Canva) and website support (i.e. WordPress) experience.
  • Experience with video conference software (i.e. Zoom or Teams).
  • Experience with email marketing services (i.e. MailChimp).
