Job Summary:

As Information Technology Project Coordinator at Ithaca College, you will play a pivotal role in the success of IT initiatives on campus by coordinating schedules, communications, issues, risks, and resources for information technology projects. This role’s primary responsibility is to ensure the smooth and organized operation of project management processes across multiple efforts. 

This is a temporary position through December, 2026, with the possibility of extension, with a possibility of extension. Location is in-person (on campus) or hybrid option for local candidates, potential for remote option for non-local candidates.

Job Responsibilities:

  1. Project Coordination
    1. Coordinate project activities, resources, communications, and schedule for multiple IT projects concurrently.
    2. Develop project plans, track project tasks and progress, facilitate removal of blockers to ensure timely project completion. 
    3. Monitor and report on project progress and potential challenges to project sponsor and stakeholders.  
  2. Stakeholder Collaboration
    1. Facilitate meetings and communication between project team members, external resources, and campus stakeholders. Create and execute communication plans.
    2. Schedule and lead project-related meetings, including kick-off, requirements gathering, user feedback sessions, and status presentations.
    3. Support training initiatives and assist in creation of technical documentation and educational resources for end-users.
  3. Documentation Management
    1. Create and maintain project documentation such as charters, plans, schedules, scope statements, meeting notes, decision logs, process maps, communication plans, and status updates.
    2. Organize project documentation in the appropriate data repository for easy accessibility by team members and stakeholders.
  4. Resource Management
    1. Assist with resource scheduling and management, including training initiatives to enhance team skills.
    2. Ensure team members have the necessary resources to complete project tasks.
  5. Risk Management
    1. Identify potential risks and issues that may impact project timelines or outcomes.
    2. Develop and implement issue solutions and risk mitigation strategies, escalating critical issues to relevant stakeholders.
  6. Product Research and Contract Review
    1. Conduct research on IT products and services relevant to ongoing and upcoming projects, comparing features, functionalities, and costs to assist in informed decision-making.
    2. Assist in the IT contract evaluation process, ensuring compliance and efficient outcomes.
  7. Equity and Inclusion
    1. Develop, demonstrate, and promote multicultural awareness and contribute to cultivating an inclusive and respectful College community. 
    2. Demonstrate a commitment to diversity and inclusion as a college priority, communicate to employees an expectation of behavior that is civil and inclusive when interacting with all staff, faculty, students, and visitors and promote a flexible, collaborative, and inclusive work and living environment.  

Qualifications:

  • Associate’s degree or higher in business administration, management, or a related field, or a combination of education and training that provides the required skills and abilities
  • 1-3 years of related experience in coordinating teams or projects, and/or information technology
  • Excellent interpersonal, problem-solving, and organizational skills
  • Excellent written and verbal communication skills
  • Ability to work both independently and as part of a team
  • Ability to prioritize workload and perform in a fast-paced environment
  • Working knowledge of project management concepts and tools
  • Strong familiarity with business software (Microsoft Office Suite, Teams)
  • Preferred: Certified Associate in Project Management (CAPM) 

Work Environment:

Most of the work of the incumbent is carried out within a generally accessible, safe, indoor environment.  The incumbent will be required to operate a personal computer and associated equipment as well as other office equipment used in the day-to-day office operations.
