Requirements

Overview

You’ll be the engine of execution for Coastal projects — turning goals into clear plans, creating cadence, and keeping teams aligned so we ship on time and within scope. This role independently manages multiple, cross-functional projects with support from PMO leadership, building a culture of clarity, accountability, and follow-through. 

Responsibilities To Include

Plan & Scope

  • Partner with stakeholders to define scope, objectives, deliverables, and success criteria; ensure technical feasibility and alignment with business goals. 
  • Develop right-sized project plans, timelines, and resource assumptions; outline tasks and delegate clearly. 

Run Delivery

  • Coordinate internal teams and/or third parties/vendors to execute with accuracy and efficiency. 
  • Lead the day-to-day cadence (standups, planning, reviews), capture decisions and action items, and drive follow-ups to closure. 
  • Manage change control for scope/schedule; update plans and owners as impacts are understood. 

Track, Communicate & Measure

  • Maintain source-of-truth schedules, RAID (risks/assumptions/issues/dependencies) logs, and comprehensive project documentation in Notion. 
  • Measure performance using appropriate tools/techniques; track and report progress against short- and long-term goals. 
  • Provide clear, predictable status updates and escalate challenges/dependencies to management early—no surprises. 
  • Coordinate testing, cutover, and go-live checklists; ensure required artifacts (requirements, runbooks, support handoffs) are complete. 

Risk, Budget & Governance

  • Perform risk management; propose mitigations and contingency plans. 
  • Support budget tracking and resource allocation as needed. 
  • Build strong relationships across Product, Engineering, Operations, Risk/Compliance, and external partners. 

Tooling & AI (part of the job, not all of it)

  • Use Jira for backlog/boards and delivery tracking; use Notion for docs, templates, and status hubs. 
  • Recommend improvements to our PM toolset and workflows (integrations, dashboards, automations). 
  • Identify safe, practical ways to use AI (e.g., status draft assistance, meeting note summaries, risk/theme synthesis), with appropriate guardrails in a regulated environment. 

Regulatory Awareness

  • Maintain working knowledge of relevant banking regulations and policies, including the Bank Secrecy Act (BSA), USA PATRIOT Act, OFAC, Regulation E, Truth in Lending Act, Truth in Savings Act, and UDAAP; follow internal compliance procedures. 

Qualifications

  • Experience leading multiple, cross-functional projects end-to-end (financial services/fintech or regulated environments a plus). 
  • Strong organization and facilitation skills; clear written and verbal communication tailored to execs and delivery teams. 
  • Problem solving with minimal guidance; good judgment on when to escalate. 
  • Collaborative mindset—able to build trust, hold teams accountable, and keep work moving without formal authority. 
  • Comfort with ambiguity and iterative delivery; bias for action and follow-through. 
  • Proficiency with Notion and Jira (or similar), plus Microsoft Outlook, Excel, and Word. 
  • Interest in tooling/automation and an eye for where lightweight AI can help (and where it shouldn’t). 

Education/Experience

  • 2–3 years of project management experience; banking/fintech or SaaS/technology experience preferred. 
  • Project Manager Professional (PMP) certification or equivalent is preferred. 
  • Working knowledge of multiple PM principles/methodologies (Agile, waterfall/phase-gate, hybrid) and associated best practices. 
  • Proficiency in project management software and tools Notion and Jira (or similar)
