The Department of Economic Security, Division of Benefits and Medical Eligibility (DBME), Assistant Director’s Office is seeking an experienced and highly motivated individual to join our team as an Executive Assistant. This position is responsible for providing technical and administrative expertise to the DBME Field Office executive leadership teams and provides technical and administrative expertise to the Program Administrators, Deputy Assistant Director and Region Program Managers. Make recommendations for the development and improvement of the unit operations, carries out special assignments, identifies problem areas, determines solutions and implement changes.
This position may offer the ability to work remotely, within Arizona, based upon the department’s business needs and continual meeting of expected performance measures.

Job Duties:Essential Duties and Responsibilities include but are not limited to:
- Provides technical and administrative expertise to Program Administrators, Deputy Assistant Directors and Region Program Managers.
- Communicate with all levels of DBME staff, DES Agency staff, and external partners, on issues assigned to the unit.
- Monitors and tracks completion of work assignments.
- Scheduling meetings, managing calendars, interview coordination, system access, out-of-state travel packet preparation and coordination, and in-state travel arrangements.
- Directs and/or assists with special projects, prepares reports, and drafts formal correspondence to internal and external partners.
- Orders and manages supply requests for the unit.
- Other duties as assigned related to the position.
Knowledge Of:
- Performing technical, complex and difficult administrative work using independent judgment.
- Personal computer and related software applications, i.e., Google.
- Overseeing multiple projects/assignments, setting priorities and meeting deadlines, and following up on assignments with minimum direction.
Skill In:
- Excellent time management.
- Gathering and summarizing data for reports.
- Performing the full range of administrative functions required by administrators in a responsible and confidential manner.
Ability To:
- Plan, coordinate, analyze, and establish priorities across multiple assignments.
- Respond to internal and external customers with tact, diplomacy, accuracy, and appropriate and timely information.
- Create, maintain and complete special projects, reports, and correspondence with accuracy and timeliness.
The ideal candidate for this position will have:
- Four or more years of responsible administrative experience in such fields as budget analysis, purchasing, accounting, and data processing.
- OR related administrative services work.
- If this position requires driving or the use of a vehicle as an essential function of the job to conduct State business, then the following requirements apply: Driver’s License Requirements.
- Successfully pass background and reference checks; employment is contingent upon completion of the above-mentioned process and the agency’s ability to reasonably accommodate any restrictions.

Retirement:State employees are required to participate in the Arizona State Retirement System (ASRS), the State sponsored retirement contribution plan and the Long-Term Disability (LTD) program after a 27-week waiting period. The ASRS defined benefit plan provides for life-long income upon retirement. You will also have the option to participate in a voluntary deferred compensation program to take advantage of tax-deferred retirement investments.
