Position Overview

The Safety Administrator provides essential administrative and coordination support to the Safety team, helping ensure compliance with company, client, and regulatory requirements. This role manages safety records, training schedules, reporting systems, and communication tools to support Integra’s health and safety programs. Working closely with our internal safety team and project- and site-based associates, the Safety Administrator helps keep programs organized, accurate, and effective, contributing to a safe and compliant work environment.

Primary Responsibilities

Program Administration & Documentation

  • Maintain safety documentation, including training records, permits, incident logs, inspection reports, and compliance files.
  • Assist with formatting, distributing, and updating safety policies, procedures, and communications.
  • Support the rollout of new programs, initiatives, and campaigns by coordinating logistics and documentation.

Training & Certification Tracking

  • Schedule and track required training and certifications (e.g., OSHA, First Aid/CPR, equipment operator cards).
  • Maintain accurate training databases; notify supervisors of upcoming expirations and compliance gaps.
  • Assist in onboarding and safety orientation recordkeeping for new associates and contractors.

Reporting & Compliance Support

  • Prepare and submit required safety reports (e.g.,near-miss data, incident reports) with accuracy and timeliness.
  • Track corrective actions from inspections, incidents, and audits; ensure timely closure and documentation.
  • Generate safety performance metrics and dashboards for leadership review.

Incident & Audit Coordination

  • Support incident investigations by collecting documentation, compiling witness statements, and maintaining files.
  • Assist with scheduling, coordination, and follow-up for safety audits, inspections, and assessments.
  • Maintain confidential files related to investigations, corrective actions, and regulatory communications.

Administrative & Team Support

  • Provide administrative support to the Safety team, including scheduling meetings, preparing agendas, and coordinating travel/logistics as needed.
  • Serve as a point of contact for safety documentation requests from internal teams, clients, and regulators.
  • Support planning and logistics for safety recognition programs, campaigns, and events.

Qualifications

Education

  • Bachelor’s Degree preferred
  • Equivalent administrative experience in safety, compliance, or construction/manufacturing environments considered.

Certifications (Preferred)

  • OSHA 10-Hour or 30-Hour (Construction or General Industry).
  • First Aid/CPR Certification.

Experience

  • 2+ years of administrative support experience, ideally in safety, risk, or compliance functions.
  • Familiarity with safety regulations and safety documentation processes a plus.
  • Proficiency with Microsoft Office Suite and ability to learn safety management systems (e.g., Procore, Hammertech, Intelex).

Work Environment

  • Primarily office-based, with frequent visits to project sites or manufacturing facilities.
  • Must be able to wear required PPE during site visits.
  • Exposure to typical construction/manufacturing environments during site support.
