What You'Ll Do
As a Travel Coordinator in the HR function, your primary focus will be to play a pivotal role in streamlining and automating the organization's travel activities for colleagues in Mexico, Colombia, and Ecuador. Your role involves leveraging technology, managing travel logistics, and ensuring a seamless and cost-effective travel experience while minimizing manual and paper-based processes. This hybrid role reports into our Regional Travel Manager and is based out of the Mexico City Support Office.
A Day in the Life
Working at H&M means no two days are ever the same, but a typical day will include the following responsibilities*
- Ensure that all travelers receive an optimal travel experience through a high level of customer service
- Utilize travel booking platforms and tools to automate and optimize travel arrangements, including flights, accommodations, ground transportation, and related services
- Implement processes to secure cost-effective and efficient travel options while reducing manual intervention. Assist agents in resolving travel issues efficiently
- Implement practices to monitor travel to ensure compliance and proactively communicate policy updates to travelers
- Simplify communication and interactions with travel agencies, airlines, hotels, and other vendors to streamline bookings and efficiently resolve travel-related issues
- Manage and oversee the company car fleet, including coordination of vehicle assignments, maintenance schedules, and vendor relationships.
- Cultivate and nurture positive relationships with travel service providers so they can consistently deliver excellent services to our employees
- Automate and streamline expense reporting processes for travel-related expenses, including the automation of receipt verification and documentation for compliance
- Implement procedures with knowledge articles to ensure that employees fully understand the required travel documents, such as visas, passports, and permits, including guidance on visa application processes and requirements
- Establish protocols for relevant vendors to be the first point of contact for colleagues with travel-related inquiries and act as the tier 2 contact to assist with more complicated inquiries
- Contribute to the development of emergency response plans for travelers. Provide support and guidance to employees in case of travel-related emergencies
- Facilitate and oversee automated processes for international and executive H&M travelers' hotel reservations coming to the MX-CO-EC. Analyze daily requests from all international travel departments and implement procedures to minimize via automation as applicable
- Frequently interact with H&M’s travel agency to understand the theme of the issues and assist the agency in resolving the root cause of these travel issues.
- Reserve conference spaces, meeting rooms, and group bookings at hotels for various departments and track group meeting costs
- Partner with the travel agency to source hotel locations for new store openings and create automated fact sheets for colleagues
- In partnership with the Regional Travel Manager, negotiate with airlines, hotels, rental car companies, and other travel service providers to secure favorable contracts
- May perform other activities related to the position
- Occasionally, travel may be required, both domestically and internationally
Qualifications
We are looking for people with...
- Over 3 years of experience in a travel-related field with deep understanding of travel logistics and industry nuances.
- Fluent in both Spanish and English, with strong verbal and written communication skills in both languages.
- Experience in using a travel and expense platforms (e.g. SAP Concur, NEO) to manage travel logistics and ensure policy compliance as an administrator.
- Ability to efficiently manage and prioritize multiple travel requests while ensuring that every detail is addressed.
- Clear and effective communication skills, both written and verbal, for interactions with travelers, vendors, and internal stakeholders, ensuring smooth communication and problem resolution.
- Experience in monthly reconciliation processes and invoice management.
