Position Summary:
ANSER is seeking a Security Specialist to support the Services Security Enterprise Onboarding Management Team. In this role you will support daily new employee onboarding operations and security processes and actions related to personnel, physical, information, industrial, and operational security.
Day To Day Responsibilities:
- Attend the New Employee Orientation (NEO) sessions every two weeks on Monday escorting arriving employees as required. Escort duties may be required at times other than the bi-weekly NEO.
- Ensure the NEO/OMT conference room is functional and fit for purpose throughout the week.
- Prepare NEO folders/handouts of materials for the new hires.
- Prepare NEO/OMT Conference room the Friday prior to NEO.
- Submit the Visit Access Requests to PFPA for the NEO attendees ensuring access to the Mark Center for the incoming employees.
- Submit the building access to new employee CACs via the Access Management Portal (AMP) for new employees.
- Submit the SAAR requests for NIPR/SIPR/JWICS accounts via ServiceNow portal.
- Submit the requests for laptops, mobile devices, or other equipment via ServiceNow portal.
- Prepare and send all NEO new hire email and meeting invite to the various OSD and WHS directorate administrative officials.
- Receive all NEO Entry On Duty (EOD) listing from HRD and updating and maintaining the information prior to the NEO.
- Prepare and send all NEO ‘Welcome’ email to all new/transferring employees every two weeks.
- Maintain the OMT email box daily for correspondence relating to any NEO sessions and OSD Special Projects and replying to same within a two-day timeframe.
- Receive, record, and respond to all customer requests for security services. Keep customers informed of progress relative to their requests.
- Track each request to completion and by discrete action type (SIPRNet token, facility access, badge request, Visit Access Requests (VARs), etc.).
- Conduct the security portions of in and out processing of Government Civilian, Military, and Contractor personnel, ensuring actions are fully tracked to completion, including entries into the Defense Information System for Security (DISS), or successor system.
- Interact (via email, TEAMS, in person) with various agencies (OSD, WHS, PFPA and DISA) at all levels throughout the organizations to perform the above duties in order for the new employees to onboard on Day One. In person interaction may involve travel between the Mark Center and the Pentagon via the shuttle bus.
- Track metrics regarding all activities in support of onboarding efforts listed above. Provide sufficient metrics in a biweekly report to include request volume by type task, time to complete, average time by task, trend analysis over time, current status.
- Provide administrative security support including, but not limited to, research and preparation of graphic presentations; word-processing, proofreading, filing, and database management, creating, tracking, technical editing and or supporting Correspondence and Task Management System (CATMS) packages, other duties also include the following:
- Answering and routing phone calls and greeting/escorting guests.
- In-processing for new personnel by accurately completing and managing required DoD forms, including DD1172, DD2249, and DD2875.
- Other responsibilities and duties, as assigned.
This position requires on-site at the Mark Center from 0730 through 1600 every day.
Required Qualifications:
- Active Top Secret/SCI clearance.
- Bachelor's degree and 10 years’ experience providing services to senior general/flag officer ranks and/or SES levels within the DoD.
- Experience with personnel security includes submitting clearance requests, clearance validation, visitor access requests (VARs), and badging.
- Experience managing physical security of classified and unclassified office spaces.
- Experience supporting information, industrial, and operational security programs.
- Working knowledge of DISS, Access Management Portal (AMP), SharePoint, and other related security platforms.
- Experience working with senior DoD leadership.
Preferred Qualifications:
- Strong people skills with the ability to objectively view requirements and evolve operations to maximize efficiencies.
- Excellent oral and written communication skills.
